Job description / Role

Employment: Full Time

We are working with my client to recruit an experienced Executive Assistant to provide executive assistance to the Managing Director and the department at the highest level, to ensure the provision of a professional, highly confidential and efficient administrative support function.

- Proactive diary management using Microsoft Outlook
- Handle all phone calls, fax, and mail addressed to the Managing Director
- Plan, prepare for and organize meetings with internal and external parties (attendees, arrange venue, circulate agenda, minutes, etc)
- Facilitate arrangements for business travel, transport and accommodation
- Collate and prepare presentations in Power Point & Excel
- Collect and disseminate information in a timely and accurate manner on behalf of the team, ensuring the highest levels of confidentiality
- Coordinate the submission of key documents to ensure timelines and deadlines are met
- File, manage, and archive all department communications and documents
- Minute taking and publication of meeting minutes
- Proactive development and maintenance of document templates such as letters, memos etc.
- Coordinate the translation of documents
- Process the department purchase orders

Requirements

At least 3 years of Executive Assistant / Personal Assistant experience in a highly professional business environment (experience in financial services, capital/global markets or banking industries preferred) with desire to deliver superior customer service, ability to multi-task with high degree of accuracy, demonstrated high level of professionalism and confidentiality with exceptional written and verbal communication skills in English and Arabic, excellent phone manners and interpersonal communication skills, exceptional skills with Microsoft Office: Word, Excel, PowerPoint, proactive and organized. Bachelors degree preferred but not required
