Job description / Role

Employment: Full Time

Coordinate and manage the CAFM System and Maintenance Call Centre (MCC) located in ADIA and providing 24/7 services across all the company existing airports.

Strategic
- Ensure CAFM and MCC data integrity and business processes, Asset PPM, Soft FM Services schedules, business operations, operations resources deployment including MCC shift schedules and compliance
- Ensure effective and structured planning and management of asset allocations, inventory and classifications, consumables and spares as per CAFM Standard Operating Procedures (SOP’s)
- Ensure effective maintenance management planning, scheduling and execution of planned preventive maintenance and unscheduled or reactive service requests
- Ensure all Soft FM service plans and service requests are properly configured, managed, implemented and monitored
- Support the company’ Emergency management procedures inclusive of disaster planning and recovery and health and safety management information are supported by the MCC and CAFM system
- Ensure procedures and process management for CAFM data capturing due to Fit-Out Works and Capital Replacement Works is correctly collated and configured in the CAFM system

Operational
- Ensure FM Contractors develop and execute best industry maintenance and services work plans and provide revisions and work around solutions as appropriate to meet changing airport environment needs and requirements
- Ensure FM Contractors identify resource needs, resource plans and assign individual responsibilities against PPM and service plans and data is recorded in the CAFM system
- Manage day-to-day operational aspects of FM Contractors responsibilities via the MCC and CAFM system and ensure compliance with KPI’s including response and resolution times
- Manage and direct FM Contractors in data analysis of service outputs and interpretation of FM Contractors performance via CAFM system reports
- Review deliverables of FM Contractors via MCC and CAFM system before escalation to the company FM Senior Management
- Provide compliance and non-compliance status updates via MCC and CAFM system on FM Contractors performance on a monthly and ad hoc basis (as required)
- Ensure CAFM system effectively manages, stores appropriate contract data, service delivery documents that includes but is not limited to, contractual reports, service request, service resolution logs (on a daily basis) and remedial activity actions, inspection reports, schedules, operations and maintenance tasks and these are complete, current, and readily available
- Provide meaningful and regular daily reports on outstanding service requests with supporting data to Line Managers and provide prompt and efficient response to end users and customers complaints and service status updates
- Ensure all FM operative staff issue progress status responses to all service requests for data loading and close out in the MCC
- Track and report FM Contractors operations and maintenance resource operating hours and staff numbers including any variation works on a weekly basis

- Assist in ensuring FM Contractors are managing contract costs including spares and consumables
- Determines appropriate revenue recognition for additional and discretionary works, ensuring timely and accurate data integrity and management information in support of FM Contractor invoicing
- Ensure effective integration and data output management between CAFM system, MCC and BMS’s

Requirements

- At least a bachelor’s degree in a relevant discipline.
- Certifications relevant to discipline.
- A minimum of eight years of relevant experience with at least five years in a leadership role in a similar Division preferably in a similar environment.
