Job Description

The primary function of the role is to handle the Import and Export operations by all mode of transport, in line with the overall company strategy and policies and assist to develop and maintain profitable operation. Bah IG will have direct reporting responsibilities to Project, Oil & Gas and Marine Manager. Duties and responsibilities are carried out in line with the organizations policies and customer KPIs.

Your Tasks and Responsibilities

FREIGHT FORWARDING TASK

* To effectively handle the Import/Export freight forwarding operations in strict adherence to the SOP of the project
* To apply freight and logistics management expertise, in accordance to the general rules and conditions of International laws, business ethics and KN code of conduct.
* Ensure on time and accurate updating of milestones including ETA/ETS/ATA/ATS
* Plan, Organize, Record, Communicate and Report operational activities to the HOD and other team members.
* Ensure workload and tasks are well managed and deadlines met as per the KPI.
* To be a team player with all stake holders of the operations process that includes HOD, other operators, internal departments, vendors, subcontractors, carriers, customs authorities, customs brokers and the client.
* To handle the operational responsibilities independently, in the absence of HOD, supervisors or subordinates
* To be an integral part in meeting departmental Volume/Financial targets set by the management.
* To assist in trouble shooting in the operational work flow.
* To follow corporate, regional and local management instructions.
* To comply with all guidelines set by QSHE (Quality, Safety, Health & Environment).
* Assist the Operations Manager to oversee the entire freight operations/documentation and ensure prompt customer service
* To ensure smooth handling for all files and promote continues improvement.
* Attend and reply to general operational inquiries by clients and KN overseas offices.
* To effectively handle the export/import files in KN systems (SALOG, OGS, ACON NEW etc).
* Follow up with airline / shipping line, BAS on the status of the import/export cargo.
* Arrange for the collection of the delivery order on timely manner and arrange for the customs clearance of the cargo.
* Ensure all customer requirements are processed prior to customs clearance of the shipments.
* Arrange delivery of cargo in conjunction with third parties and customer.
* Complete invoice within 24 hours of execution of the task/as per client KPI.
* Follow up and coordinate for special approvals in Bahrain
* Ensure that accruals are done and correct profits are taken for the files.

EXPEDITING TASK

* File to be handed over to Manager/ Supervisor for final quality check, closure on case to case basis.
* Expedite shipments from various origins/shippers as per the mode of transport agreed with the client.
* Regular follow up with nominated suppliers to determine and verify delivery status of PO against contractual due dates and business need dates. This follow up will be a combination of desk based expediting (OGS , e-mail & phone calls)
* Act as a primary interphase with key suppliers and develop good working relationship with the vendors
* Identify and resolve any issue that may affect the suppliers ability to meet their contractual delivery dates
* Proactive shipment updates to customers preferably by e-mails (OGS or KN login or SALOG/CIEL documentation)
* Work with the client, suppliers to implement any approved changes to the supplier delivery date due to the changes in project schedule.
* Ensure customer satisfaction is guaranteed by solving problems effectively and satisfactorily.
* Maintain accurate and complete records on inspection and expediting activities and update the milestones accordingly.
* Prompt and clear communication on the documents to be generated for each PO/SCN based on the mode of transport
* Monitor the progress of the shipment from collection till arrival and delivery.
* Informing the department of mistakes / complaints and their progress.
* Maintaining a log book towards customer complaints to resolve complaints in cooperation with the departments concerned.

Requirements

* Minimum 3 years Oil & Gas / Project Experience
* Excellent Negotiation skills with Carriers & sub-contractors
* Good communication skills
* Independent, self-motivated and highly disciplined
* Able to work in team environment
* Good analytic and problem solving skills
