Employment: Full Time

A pragmatic and dynamic international law firm with a focus on core sectors of infrastructure, insurance, international trade, natural resources and transportation is looking to fill the above role in Doha. The organization is recognised for its work in and with fast-moving and volatile emerging markets, and for a history of managing complex, multi-jurisdictional transactions and disputes.

This role is pivotal in the management of workflow, ensuring even spread of work, secretarial allocation and dealing with absence and holidays. There will be assistance in the induction of new joiners (support and fee earners) and key involvement in the interview and hiring process for new secretaries.

Key elements of the role include creating and amending documents, correspondence and emails, using audio dictation and manuscripts to a high degree of accuracy and to tight deadlines as well as proof reading documents for spelling and grammar and sense checking letters for clear language. Tracking changes in finished documents using a software package, opening new files on the system, together with preparation of case registration/client identification forms and drafting non-technical email responses and cover letters on behalf of fee earners.

Scheduling meetings with clients, booking meeting rooms, video conferencing etc, taking calls in fee earners’ absence presenting a professional image to clients and other visitors and actioning calls if required and managing partner / fee earners' diaries and travel arrangements (flights/taxis/hotel accommodation) are also part of the remit.

The supervisory part of the role takes responsibility for secretarial allocation, ensuring workflow is maintained, making changes as necessary and monitoring workload, ensuring work is evenly distributed. Evaluating on a regular basis and discussing with secretaries to ensure no under/over capacity, thus ensuring secretarial services are being used as efficiently as possible and ensuring all deadlines are met within the team.

Requirements

The ideal candidate will have a good standard of education; a secretarial qualification is desirable and have at least 3-5 years of experience as a Senior Legal Secretary in a law firm with prior supervisory/coaching role experience. They must be a sound delegator and very comfortable in a supervisory role, excellent IT skills and fast, accurate, audio typing experience with excellent attention to detail.
