Job description / Role

Employment: Full Time

Our client are a multinational financial services company based within the DIFC.

Duties will include, but are not limited to:
- Manage the inbox, flagging emails which require a response
- Assisting the Office Manager with facilities management
- Daily receptionist cover when required
- Manage the diary for the Dubai Office Manager and set up meetings when required
- Manage own diary and prioritising workload accordingly
- Responding to queries via both telephone and email
- Assisting the Office Manager in arranging events and meetings with internal and external attendees, arranging refreshments and audio/visual equipment where appropriate
- Assist with the preparation of PowerPoint presentations and documents
- Print packs, papers for meetings in a timely fashion
- Create and update documents using MS Office applications when requested
- Play a proactive role in supporting the successful running of the office, such as the monitoring and ordering of stationery
- Filing and general office administration
- Provide operational and project support to the Office manager, e.g. by taking minutes at meetings, tracking progress of tasks and co-ordinating progress reports, producing presentations and project support documentation
- Support effective collaboration and communication with the businesses on the platform
- Processing Office Manager expenses on eXpense and assisting with the completion of accounts
- Organise travel arrangements and schedules, including international travel for the Dubai Office Manager
- Absence and annual leave logger on behalf of the Dubai Office team
- Input and Update the Dubai website as required.
- Ad hoc items as required

Requirements

- Ability to handle sensitive/confidential information
- Experience in supporting on a one to one basis whilst supporting a wider team is essential
- Ability to balance competing demands and prioritise accordingly
- Strong organisational skills
- Good attention to detail and the ability to work to tight deadlines
- Good PC and Microsoft office skills including Word, PowerPoint, Excel, Outlook
- Excellent telephone manner and presentation

- Gravitas to work with internal team, Country Manager, General Representatives and external parties
- Able to communicate both written and orally
- Able to produce work to a very high standard
- Great networking skills
- Focused and enthusiastic

As the the role is initially only for 6 months it is imperative you are on a sponsored family/partners VISA. Please only apply if you are able to stay on your families/husbands VISA.
