This particular position is an opportunity to work for Mace International on a major programme or project in Dubai.


The Role

Document Controller – Dubai Project

Accountabilities
• Provide training and guidance to the new staff, including managers, regarding general document controlling process and procedures in the project.
• Manage site or projects independently.
• Administrate external and internal site correspondences by the software available in the project.
• Manage the control of incoming documents ensuring that project document control procedures are followed.
• Maintain accurate records of incoming documents and correspondence and retrieve immediately as required or requested.
• Prepare letters, reports, presentations, meeting minutes and monthly reports in accordance with the standard project templates.
• Accurate presentation and editing of complex documents using knowledge of engineering terms.
• Assist in the management of all outgoing documents in particular the issuing of letters, transmittals, reports and drawings.
• Carry out electronic and hard filing of documents
• Keep a record of all folders/files that have been issued to various members of the team and ensure they are returned in a timely manner.
• Ensure that hard and electronic copy project files are archived according to project archive policy.
• Provide cover during annual leave or sickness and provide cover on reception
• Update drawing classification and tender/construction drawings in accordance with the revisions
• Preparation of tender documents.
• Operate office equipment, such as photocopier/scanner, printer, fax machine and binder, in supporting the project team with their requirements.
• Ensure that health and safety is embedded into all work practices in line with project policies.
• Maintaining a holiday chart.
• Arranging meetings for the managers if required.

Requirements

Key Requirements

• Must have intermediate to advanced knowledge of MS Office packages especially Word, Excel, PowerPoint and Outlook.
• Excellent organisational skills.
• Ability to manage multiple and changing priorities in a high volume environment.
• Accuracy and attention to detail.
• A high degree of expertise in office management and administration.
• Able to meet deadlines.
• Experience of SharePoint and BIW or other on-line collaboration tools.
• Experience of supporting programme/project focused teams in property or construction environments.
