Job description / Role
We are currently supporting my client, a global US company based at the DIFC to seek an experienced Executive Assistant to support Director level and their team. Daily duties will include but not limited to;
- Complete weekly time & expense reports, including reconciliation and payment tracking
- Arrange complex travel and any necessary foreign visas
- Schedule meetings as requested, coordinate all necessary meeting logistics
- Assist in establishing and maintaining relationships with client contacts
- Support conference logistics as required
- Provide telephone coverage for internal and external calls; take messages; follow up on voicemail recordings in a timely manner
- Review daily news feeds and route pertinent articles and press releases as appropriate
- Assist with onboarding of new staff; work with the Office Manager to coordinate onboarding activities/items; liaise with other support departments, such as HR and technology; coordinate internal and external announcements
- Develop and update documents and prepare PowerPoint presentations, adhering to company style and editorial guide. Format, proofread and add legal appendix where necessary. Design and develop Excel spreadsheets
- Provide general administrative support, such as copy, bind and fax documents; update, process and distribute records and rosters; and create and maintain filing systems
Requirements
- Fluent English and Arabic language skills - speaking, reading & writing
- Degree or equivalent experience five years plus corporate experience within an administrative capacity
- Strong interpersonal skills; ability to interact effectively at all levels
- Comprehensive knowledge of core MS Office, Windows, SharePoint, and private software applications and technology, including networks and databases
- Discretion in handling sensitive or confidential information
- Flexibility; willingness to take on new tasks and stretch assignments
- Resourcefulness and troubleshooting skills; ability to identify problems and provide solutions
- Ability to work well under pressure; positive, “can-do” attitude
- Sound judgment with independent decision making
