Job description / Role

Employment: Full Time

Our client, an international law firm based in Dubai, is currently looking to hire a legal secretary for its existing team.

The following duties are required:

Administration:
- Complex diary management for all attorneys.
- Document production, including heavy amendments and formatting, track changes and working in multiple versions of documents.
- Photocopying, printing and scanning.
- Making travel arrangements as required, including flights, accommodation and airport transfers.
- Heavy involvement in the billing process, including working with the partner and the accounts team to produce the monthly bills, checking the accuracy of the bills and sending them out in a timely manner.
- Following the procedure of opening of new matters and taking on new clients, including obtaining KYC documentation for every client.
- Electronic and physical filing of correspondence and documents.
- Preparing expense claim forms for the attorneys.
- Inputting client development events and meetings into InterAction.
- Inputting time entries into the CMS system for all attorneys.
- Assisting with secretarial and admin tasks as directed by the Office Coordinator.
- Answering calls and making calls on behalf of the attorneys.
- Multi-tasking and prioritising work.

Requirements

- Minimum of five years’ experience in a legal environment.
- Fluent in English, both verbal and written (preferably mother tongue).
- Friendly and approachable manner.
- Excellent communication skills, both written and verbal.
- Must be a team player with a can-do attitude. No job is too big or too small.
- Knowledge of administrative procedures.
- Willingness to build and improve secretarial skills.
- Willing and available to work overtime if required.
- Salary commensurate with level of experience and skills.

Technology Skills:
- Minimum typing speed of 60 words per minute and high level of accuracy.
- Advanced Outlook/Word/Excel/PowerPoint 2010 skills.
- Internet Explorer.
- Advanced document and formatting skills
