Job description / Role

Employment: Full Time

As Mobilisation Coordinator you will be responsible for providing an efficient coordination and administrative support service to the Talent Acquisition Team, in order to ensure that the hiring demands of the business are met.

Duties and Responsibilities:
- Sending offers of employment and liaising with candidates, by telephone, email and face-to- face, to ensure all queries during the offer stage are addressed appropriately and correctly.
- Consultation with candidates to provide efficient support and guidance on the mobilization process.
- Handling all general queries
- Chasing potential employees for visa documentation and ensuring deadlines for receipt of documents are met.
- Screening Visa documents and ensuring they are compliant with Immigration requirements
- Estimating start dates for all new employees
- Ensuring Audit requirements are met for employee folders
- Working hand in hand with business partners (TA/ HR) to ensure a smooth mobilization experience is conducted.
- Coordinating travel and accommodation arrangements for new hires ensuring approvals are in place before bookings are confirmed.
- Coordinating with the internal POCs (e.g. HR, PRO, IT etc) in order to ensure that the candidates mobilization runs as smoothly as possible and the set up for all candidates is completed prior to joining.
- Sending new joiner notifications to the business
- Maintaining the Mobilization tracker and ensuring data integrity is maintained at the highest standard.
- Ensuring that weekly reports are sent to the internal business partners as well as hiring managers and any potential issues identified and communicated clearly to the business in advance.
- Sending itinerary packs
- Any other duties as required

Requirements

- Degree Qualified
- Successful candidate must have 2 to 5 Years relevant administration experience
- Must be able to demonstrate a high level of competence in knowledge of UAE visa process
- Proficient in MS Office Package.
- Must have excellent verbal and written English language skills.
