Job description / Role

Employment: Full Time

Our client is an international financial services company who are seeking for an articulate and experienced Personal Assistant to the CEO who can manage a demanding work schedule

- Provides complex calendar management, serving as gatekeeper and coordinator
- Plans, organizes meetings of executives; researches, collects and prepares background information or materials as necessary; at times may be required to schedule sensitive and confidential appointments in conditions that require the utmost discretion
- Prioritizes professional and personal responsibilities for the CEO in accordance with business strategies and personal objectives
- Prepares correspondence and other written materials for executives requiring specialized knowledge of the subject matter
- Edits and proofreads written materials, such as complex contracts, for content consistency and accuracy
- Assists in research, content development, and creation of presentations
- Aggregates, organizes and manages a variety of records, documents, and files
- Communicates and interprets administrative and operating policies and procedures
- Independently support and manage the administrative needs of the CEO and often act as an advisor and coach to other individuals interacting with the executive team.
- Coordinate timing and location logistics for a wide variety of business and departmental meetings, preparing meeting materials ahead of time when applicable
- Coordinate air travel, accommodations, and logistics for both business and personal travel
- Screen and route phone calls and emails with the utmost professionalism
- Compile special reports, organize data, synthesize the information, and create presentations as needed

Requirements

- Minimum of 5 years of C-Level executive administration work experience in a fast-paced environment
- Bachelors degree in Business Administration, Communications or related field
- Mastery of Microsoft Office: Outlook, Word, Excel, and PowerPoint
- Genuine passion for providing outstanding hospitality and service to external and internal clients
- Ability to deliver action items and complete tasks against multiple projects and deadlines
- Maintain an approachable and responsive demeanor and understand the importance of deadlines and client satisfaction
- Strong initiative and follow-through skills
- Strong ability to prepare, proofread, interpret, distribute and maintain specified routine and complex documents
- Exceptional attention to detail and high level of accuracy
- Excellent verbal and written communication skills; ability to listen, simplify, and disseminate information tailored to the target audience
- Dynamic, engaging, professional with positive attitude
- Demonstrated experience in dealing with sensitive and conflicting situations in a diplomatic manner by de-escalating conflict or knowing when to route issues upward
- Demonstrated ability to take initiative and anticipate needs
- Handle highly confidential and/or sensitive departmental matters with discretion and tact
