Job description / Role

Employment: Full Time

The purpose of this position is to provide administrative support on academic matters. The position also coordinates assigned activities with other departments in order to expedite work and ensure smooth operations.

•Assist with maintaining all documentation for related academic programs such as policies, procedures, guidelines and course manuals; coordinates internally with relevant departments to ensure the most current documents are maintained.

•Provides secretarial support to departmental meetings; organizes meetings, coordinates items for agenda, prepares required documentation, takes minutes of meetings and follows up on details to ensure timely and accurate dissemination of information.

•Provides full range of secretarial support to the direct manager and faculty (when required).

•Provides support for events related to the department such as conferences, seminars and presentations.

•Prepares semester and annual academic reports for management and other customized reports, when required.

•Provides support to the direct manager for academic planning, scheduling of classes and labs by liaising with faculty and relevant academic administrators.

•Coordinates with Finance and Administration Department on behalf of the direct manager and faculty for logistics related to meetings, conferences, seminars, travel (local and international), procurement, financial and IT matters.

•Maintains and updates a filing system for the department, paper and electronic, to store all critical documents, decisions and such for future reference.

•Interacts regularly with a wide range of internal and external constituents, faculty and staff members; provides information to academic staff and students.

•Performs other similar or related duties as and when assigned by the direct manager.

Requirements

•Minimum three (3) year’s relevant experience, preferably in higher education.

•High level organizational and time management skills.

•The ability to establish priorities, plan and meet deadlines.

•Exceptional interpersonal and communication skills in order to deal effectively with people at all levels.

•Strong written communication skills including the ability to draft correspondence, reports and meeting minutes.

•Demonstrated capacity to work in a collegial manner with other staff in the workplace.

•A strong sense of discretion in the handling of confidential information. Must possess required behavioral skills required to perform the job effectively.
