Job description / Role

Employment: Full Time

Admin Assistant to Marketing/Sales (Renewable contract - depending on the performance and business)

- Get approval of the budget owners on quotations received from the suppliers
- Purchase Order: Raise a Purchase Request and follow up on approval / validation and PO creation, Maintain a proper tracking of created PO`s, Follow up on delivery of the goods / Services and make GR confirmation, GR / IR balance verification and adjustment
- Request ICBP from Cost Calculation team
- Convert the cost to Euro currency and BUOM to numbers in cases and items according to the case count
- Raise a price request in Share Point to the Pricing Team
- Create the NRO form / steam request and follow up with approvers
- Submit NRO request to OSB team and follow up on NRO invoice issuance
- Submit NRO invoice to logistics team and follow up on shipping documentation requested
- Book the shipment and follow up with DHL on custom clearance and delivery to consignee
- Samples follow up with detailers
- Tracking of expenses by spending category

Monthly reporting on budget consumed / remaining
- AP ( KSA and UAE)
- NE ( Lebanon, Egypt)
- NWA

- Distributors fact sheet payment
- Follow up on monthly Detailing expenses from distributors
- Travel budget tracking
- Weekly follow up on Detailers reports in KSA, UAE, NE
- Ensure detailers material and samples delivers in their region.
- Surveys: i.e. connect with Dentists in UAE, Saudi, Lebanon/Egypt
- Hotel and Flight booking for the team
- Follow up expenses for the team

Requirements

- Excellent communication skills
- Very organized
- Self-motivation with great time-management skills
- A people person with a positive and friendly attitude
- Arabic language skills (speaking, reading, typing) would be looked upon favorably
