Admin Executive - Retail Corporate Office - Riyadh

We are currently looking to recruit an Administration Executive to be located in our Group Admin office in Riyadh and you will be responsible for the following duties:

Administrative responsibilities
- Assist the Retail Country Head in planning & co-ordination activities within All retail brands.
- Provide Secretarial support to the Country Head to ensure that the Country Head daily schedule is properly coordinated. This covers but is not limited to .
- Correspondence (ie taking dictation & transcription) & Self correspondence
- Maintaining filing and Organizing retrieval of documents.
- Coordinating travel schedules, follow up on delivery of travel allowances and tickets.
- Diary Management : Scheduling appointments.
- Interacts with Overseas Principals & HI level Business Associates.
- Monitoring Outlook mails at all times. In the absence of Country Head takes initiative of communicating the contents of the emails & updating on issues for info action.
- Dealing with telephone calls in a professional manner, this includes screening calls and ensuring the telephone is covered at all times.
- Facilitating Meetings for the Retail Director and collates documents for meetings & presentations, & manages visitors.
- Handling internal & external mail.
- Provide secretarial support to the Retail Management team if required.

Confidentiality
- Has access to confidential information/ projects - so the degree of confidentiality is to be maintained.

Follow Up
- Tremendous follow up with Department & external parties to track progress on projects / Reports and ensure timely completion.

Requirements

- Secretarial diploma certificate or equivalent experience , with knowledge of typing & shorthand.
- High level of PC skills.
- MS Office packages like Word Excel Powerpoint Outlook.
- 3-5 years experience in an Administration/Secretarial capacity dealing with different department with exposure to all areas of business.
