Job description / Role

Employment: Full Time

PRINCIPAL TASKS & RESPONSIBILITIES

HR:Working closely with departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures;Raised the new ERF’s for the vacant position and secure its approval before hiring.Promoting equality and diversity as part of the culture of the organization;Liaising with a wide range of people involved in policy areas such as staff performance and health and safety.Recruiting staff - this includes developing job descriptions and person specifications, preparing job adverts, checking application forms, shortlisting, interviewing and selecting candidates;Developing and implementing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures and absence management;
Arranging the visa’s, health insurance and labor card of newly hired employees with respected authorities Preparing staff handbooks;Advising on pay and other remuneration issues, including promotion and benefits;Maintain annual leaves, sick leave, unpaid leave, TIL record, arranging annual tickets for the staffUndertaking regular salary reviews;Negotiating with staff and their representatives (for example, trade union officials) on issues relating to pay and conditions;Administering payroll and maintaining employee records;Interpreting and advising on employment law;Dealing with grievances and implementing disciplinary procedures;Developing with line managers HR planning strategies which consider immediate and long-term staff requirements;Planning, delivering, training, including inductions for new staff;Analyzing training needs in conjunction with departmental managers.

Admin:Undertake general administrative duties including:Liaising with govt. Departments for renewing the trade license, product registration, getting approvals for company events Securing the approval from the management for various forms etc. ( trf, it, erp, rfi, pprf, pifs,)Arranging the air ticket and hotel accommodation for the staff for business trips and maintain the record of business trip reports, preparing staff reimbursement claims for business travelling Filing, copying and faxing.
Collation and distribution of minutes, reports and other documents.Dealing with incoming and outgoing mail and general emails.Ordering of equipment, materials and office supplies.Minute taking for board, team meetings and other meetings as required.Prepare contracts for suppliers as advised.Assist in matters relating to marketing and publicity for the company.Arrange meetings relating to the core operation of the company.Maintain the central filing system, general database and archive.Provide administrative support for matters relating to the premises and operations Including security, alarms, opening, insurance and transport.Maintain close links and inform the RGM of all issues likely to affect the operation of junction arts.

Requirements

Bachelor Degree
Multilingual (English/Arabic and other languages also preferable)
3-5 years’ experience in Admin & HR department with MLM companies is preferable.
Self-motivated, flexible approach to work, leadership skills, and customer oriented
Gulf experience and dealing with the ministries such as labour, foreign affairs are preferable.
