Admin Manager - AlFuttiam Engineering - Mecca - KSA

Our MEP Projects division provides solutions from design, engineering, supply, installation and commissioning in one coordinated package or as individual services in conjunction with other contractors. Some of our projects are residential buildings, offices, shopping malls, hospitals, hotels, schools, showrooms, public utility buildings, industrial units, mosques, warehouses, high rise towers and Infrastructure works.

As an Admin Manager you will lead the provision of high quality and sustainable administrative support to all EET business across the geographies to enable the smooth running of the business operations and delivery of strategic objectives

The duties of the Admin Manager will include:

* Line-management of administrative staff, delegating tasks, offering training, peer support, coaching as required, including facilitating appropriate development, undertaking supervisions and appraisals, and handling poor performance issues.
* Evaluating the effectiveness of the support provided by the Administrative team and updating processes and procedures accordingly.
* Developing systems and processes to enable continuous improvement in admin support, forward planning and cost savings.
* Plan and executes initiatives around employee welfare for staff living in camps in coordination with HRBPs. Manage Employee Communication and Feedback with staff living in camps and villages across company. Coordinate with Group Housing for acquisition of new camp facilities as per the business requirement.
* Ensure that system and process are in place for general admin support including actions/documents/approval required for company vehicles relating to new purchases/renewal/repairs & maintenance/disposal and transfers as per Policies.
* Leads company Compliance with all existing KSA Governmental and Labor Legal requirements including any related to Disabilities, Occupational Injuries, Workmen Compensation, Insurance Claims and the Occupational Safety in close coordination with HRBPs and Group Admin team. .
* Be a focal point of contact for employee relations issues of staff living in camps to Group Admin team, Group Employee Relation as well as HR Business Partners.
* Oversee the Management of Company Camps / Buildings as per requirements of local Municipality & Labour Law across geographies.
* Management of Company Vehicles deployed in the Division & control of Transport Costs.
* Manage the issues of employee admitted in the hospital through close coordination with Group Admin team and keep the management updated.
* Manage the entire process with the relevant authorities and Police in case of vehicle accident as per the Group set guidelines.
* Ensure that required approvals are in place for illegal imports, bounced cheques, staff offences , Salk payments/fines and motor accident claims etc.etc.in most efficiently manner without disturbance to the business.
* Initiate timely negotiation of rents with landlords of Commercial Properties/ advertising signage etc. of all SBUs under EET.
* Ensure timely renewal of documents with close coordination with SBU heads and Group Legal Department and also initiate action/approvals  for Trade documents needed for new locations
* In coordination with Group admin team manage the application, Cancellation & Issue of Access Passes for all employees working in restricted areas as part of Projects.
* Any other tasks assigned by management in relation to the administrative issues of staff and business.

Requirements

To be successful in winning this role, the following are the prerequisites:

* As per the requirement of the Holly City of Mecca, KSA only Muslim Applicants will be considered for this role
* Graduate or Post Graduate
* Minimum10-15 years of years' experience as an Admin Manager in Contracting
* Excellent knowledge of Administrative management
