Job description / Role

Employment: Full Time

AECOM are looking to recruit an experienced Administration Assistant to provide efficient coordination and administrative support to the Public Relations team in Qatar.

Duties and responsibilities include but are not limited to:
- Completing and updating the information on AECOM Master Excel Sheet.
- Prepare monthly reports and make notes for PRO manager review.
- Scanning and filling hard copies of all documents related to staff and family, renaming folders ( keep records of updated passports , Updated RP , original and copy of degree and other important documents)
- Following up the RP Expiries and sending email reminders to employees for RP renewal in advance of 45 days after confirming with HR dept.
- Replying calls and taking notes in professional way and urgently updating the PRO manager on any issues and placing reminders for any important items.
- Communicating with staff by emails on confirmed appointments for Medical tests, Fingerprints, e-gate ID cards and driving license eye test.
- Track visa requests and timely updating the relevant parties.
- Receive the new issued visas and RPs and renewed RPs to update the PRO files & reports
- Checking the medical results then completing and printing the fingerprint forms.
- Help with E-Government process (Urgent Exits, RP Renewals, RP Cancellation).
- Assist with preparing the immigration letters & Applications and preparing the related required documents after confirming with PRO.
- Translating documents from Arabic to English or from English to Arabic as per request from PRO manager.
- Manage staff appointments with the PROs and Assist PRO Team with information needed
- Preparing expense reports for PROs
- Completing any other assigned tasks by PRO manager on timely manner.

Requirements

- At least 5 years administration experience.
- Experience of working in the Middle East region would be highly advantageous.
- Excellent verbal, written and interpersonal communication skills in English and Arabic.
- Ability to organise, track and collate information accurately.
- Excellent computer skills, including knowledge of MS Office and familiarity with the internet and email communications.
- Excellent organizational and time management skills.
- Meticulous and attentive to detail.
- Pro-active and fast learner.
- Pro-active team player.
- Diplomatic and discreet approach to dealing with requests and queries.
- Flexible approach to work
