The Role


The Role


Our client, a German-based auto spare parts trading company, is urgently in need of an Arab-speaking Administration Manager to be based in their office in Jebel Ali Free Zone (JAFZA).

Job Purpose

To provide assistance and support to executive office in communication, coordination, management and organizational effectiveness. To supervise and manage the office administration, government relations and warehouse activity. To act as Liaison to JAFZA and other government authorities, hotels and travel agents, and local vendors. And to provide support to Board of Directors on their personal matters as requested.

Duties and Responsibilities:

- Liaison between executive office, suppliers and operating teams;
- Effective and efficient filing system for the executive office;
- Managing the meetings and travel schedules of the executives;
- Managing the incoming/outgoing correspondence of executive office;
- Preparation and filing of minutes of the executive meetings;
- Gathering and consolidation of monthly financial reporting;
- Coordination of monthly reports to suppliers and operating teams;
- Preparation of monthly payroll for payment and accounting entries;
- Maintenance of personnel database including employee files, contracts etc.;
- Assistance in developing organizational policies, procedures and internal controls - Provision of support in employees’ performance assessment and management;
- Provision of accounting support as and when required by the Accounting Department;
- Contribution and value addition in developing a corporate culture, quality and professional ethics;
- Acting as the ‘confidential’ member of the executive office;
- Responsible for all activity related to JAFZA (Company registration, immigration, employee related matters i.e. salary letter etc.;
- Liaison and co-ordination with various govt. authorities including automobile registration, traffic offices, legal matter and statutory reporting;
- Maintenance of employee personal files, passports and monthly payroll calculation for finance/payment;
- Supervision of office administration including facilities, equipment management, office supplies and Etisalat activity;
- Liaison with local external auditors and insurance companies as required;
- Provision of support to board members as and when required;
- Supervision of warehouse and logistics activity;
- Handling of main cash safe for any emergency payments;
- Other tasks as may be assigned from time to time.

Requirements

Job Profile Required:

- 3-5 years office management and JAFZA company administration;
- Knowledgeable in JAFZA Office and Immigration procedures;
- Proficient in MS-Office application;
- Excellent English and Arabic communication skills;
- Due to nature of the work, it is highly preferred to have a male candidate for this role;
- Capable of multi-tasking, excellent organization and follow-through skills and interpersonal skills.
