Job description / Role

Employment: Full Time

We are looking for an experienced Administration Manager to join our project team working on King Abdulaziz International Airport in Jeddah. This is a fantastic opportunity to be part of an exciting, high profile project in Saudi Arabia.

Responsibilities

Reporting to the senior management team on the project, the key responsibilities include:

Manage a project support team (admin officer, IS support technician & drivers)
Oversee & manage admin responsibilities :
Iqamas (securing client visas & associated documents)
Business visas
New joiner mobilisation
Flights
Accommodation
Security permits
Office supplies
Inter office deliveries
Payroll coordination with the Finance department in Riyadh
Out-of-hours emergencies
Oversee & manage IS support responsibilities:
Maintain project documents (employee list, leave chart, visa chart, training chart)
Client weekly report
Timesheets
Expense claims
Leave forms
Business travel forms
Inductions
Filing, binding, document control
Ensuring that new employees are mobilised quickly and efficiently and accommodation and transport is arranged as and when required
Coordinate with the Recruitment team to ensure new positions are filled quickly
Coordinate with the HR team on resource planning & management
Maintain client relations to ensure their continued support with visas
Provide weekly reports to the senior management team & HR manager
Proactively assist with getting value for money on accommodation, flights and transport

Requirements

Requirements:
Degree Qualified
Minimum of 8 - 10 years post qualification experience
3 years experience working in a similar role in the Middle East
Ability to relate and interact successfully with a multi-cultural workforce at all levels is essential
Must have outstanding communication skills in written and spoken English
High degree of accuracy required
Must be able to work both independently with a proactive approach and collaboratively as part of a team.
Should be able to demonstrate the ability to work under pressure and to tight deadlines.
