The Role


The Role


TYPE OF INDUSTRY - Government Sector

PRIMARY RESPONSIBILITIES

Coordinate and handle general administration activities (such as catering, janitorial, maintenance, etc…)

Provide support to Company's staff on required material (management of stock of work material, such as office supplies, technical material, etc.)

Technical assistance to work / operations management

Communication assistance

Ensure proactive facility management in view of appropriate supply of office space / equipment and maintain landlord relations, including rental contracts

FUNCTIONAL RESPONSIBILITIES

Coordinate and handle all administration activities to ensure seamless support regarding office organization, event management and day-to-day operations, including:
Manage and execute all maintenance and janitorial activities
Manage office and physical security (e.g. locks, gates, security personnel)
Monitor compliance with health and safety standards
Manage office services and ensure active liaison with relevant vendors (office equipment and furniture, stationery, flower shops, etc.)
Liaise with all involved business units to orchestrate requirements of equipment such as IT, telecommunication systems, etc.
Provide support to Company’s staff on required material regarding oversee and procurement of work material / office supplies, including:
- Management of stock of work material
- Maintenance for technical material
Specialization # 1: Provide technical assistance to work / operations management, including:
Management of software licenses, hardware and other technical equipment
Support facility management regarding (low level) maintenance work
Support production of documents / reports

Specialization # 2: Provide communication assistance, including:
- Reception
- Phone operator
- Scheduling of meetings
- Administer and monitor catering services
- Work with the HR Officer to facilitate hiring decisions

Manage all facility related issues, including:
- Support room layout
- Liaise with external maintenance companies
- Provide property management (e.g. rental or leasing agreements)

Requirements


Requirements


Qualified professional degree of Office Management Assistant or similar

Experience/Domain:

Experience in office organization
Basic experience in accounting
Basic training in health and safety measures
Skills/Capabilities:
Fluent and literate in Arabic and good English language skills (spoken and written)
Good Computer skills (Word, Excel, PowerPoint)
Good communication skills
