The QDFC Administration Officer is responsible for supporting the day-to-day functions while promoting high standards of corporate values through correspondence, telephone, and personal contact. Oversee and implement an effective and user-friendly Database system. Implement and monitor an effective and secure filing system, collate, prepare and monitor Departmental budget. Required to support all areas of administration for QDFC with particular responsibility for Food and Beverage.
Responsibilities are looking after the following:
HR, Administration, Procurement, Supplier Relations, Policies & Procedures, Security, and General.
Coordination with Senior & Departmental Management team
Ensure the highest level of confidentiality with regards to all company documentation, information and statistics.
Handle all incoming and outgoing food and beverage correspondence including customer feedback promptly and accurately
Raising of Personnel Requisition for staff change, turnover, resignation, promotion, transfers, Maintaining records of overall departments on:
Accountable to implement and monitor the department's database system within the approved timetable of implementation
Responsible to receive and recommend for approval, all office related purchase requirements of the Department on a Daily, weekly, monthly, and annual basis.
Responsible to maintain an updated and comprehensive database in order to have accurate, complete, and easily accessible information regarding an individual or a group at all times
Coordinating with HR Immigration regarding medical, finger print & stamping of RP for new joiners & RP Cancellation on staff termination.
Handling business visas for visitors/suppliers
Coordinate with QR centralized purchase department for tenders process & regular purchases, in order to maintain & minimize costs at all times
Handling MIS. Purchase orders for plastic bags, security stickers, till rolls, stationery etc.
Handling of all transport request schedules for QDFC generic staff and new joiners going for their medical, finger print etc.
QUALIFICATIONS, EXPERIENCE, & SKILL
Excellent in both spoken and written English Language.
Command over spoken and written Arabic, a distinctive factor.
Valid Driving License an advantage
At least 7 years overall experience in retail & F&B / hotel administration of which 3 years should be under supervisory level.
Working Knowledge of Qatari Ministries and Governmental Departments in relation to the business
Excellent written and oral communication skills
Ability to organise and prioritize tasks on a regular basis,
Able to work to deadlines and work under pressure.
Well-developed lateral and analytical thinking skills
Strong commitment to confidentiality
Strong people manager; able to lead a professional team
Excellent project management skills; able to deliver tasks within tight deadlines
Creative and innovative; able to design new and effective solutions
