Job description / Role

Employment: Full Time

- Performs a variety of secretarial and office support duties, such as composing and word processing a variety of standard documents and correspondence, relaying and resolving routine telephone and/or walk-up inquiries, scheduling calendar items and meetings, processing forms, performing data entry, and establishing and maintaining records.
- Assists and directs visitors.
- Composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents.
- May serve as a personal assistant to a senior level personnel.

The duties and responsibilities of the Secretary, as assigned by the Department Wise, may include but are not limited to the following:
- Coordinates and performs a range of staff and/or operational support activities for the Department; serves as a liaison with other departments in the resolution of day-to-day administrative and operational problems.
- Operates personal computer to compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established department policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.
- Proofreads and edits documents for accuracy, clarity, spelling, grammar, and punctuation.
- Enters data from forms, records and/or reports using a computer.
- Greets and directs visitors, as and when appropriate; resolves routine administrative problems and answers inquiries concerning activities and operations of his / her Department as well as other School Departments.
- Provides administrative/secretarial support for the department such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.
- May sorts, screens, and distributes incoming and outgoing mail for selected personnel.
- Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
- Drafts or prepares responses to routine inquiries; prepares photocopies and facsimiles, and operates a variety of office equipment.
- Establishes, maintains, processes, and updates files, records, and other documents.

Requirements

- Fluency in Arabic and English is essential.
- Possess excellent communication and interpersonal skills.
- Ability to respond quickly and accurately to questions.
- Word processing and/or data entry skills.
- Ability to understand and follow specific instructions and procedures.
- Ability to maintain calendars and schedule appointments.
- Ability to record and transcribe meeting minutes.
- Skill in the use of operating basic office equipment.
- Ability to maintain confidentiality of records and information.
- Receptionist skills.
- Ability to create, compose, and edit written materials.
- Organizing and coordinating skills.
