Administrative Assistant - Abu Dhabi

We are currently recruiting for an large organisation based in Abu Dhabi, we are looking for an experienced Secretary - Visa Section - Abu Dhabi (Farsi Speaking)

GENERAL DUTIES
- Processing visa applications on AVATS, the online visa application system.
- Responding to visa queries from the general public and visa applicants by phone, letter, email and at the public counter.
- Ensuring the applications are received correctly and consistent with the specific visa document requirements.
- Liaising with the office of Naturalisation and Immigration Service) as required.
- Checking documents from visa applicants at public counter and checking that all supporting documents are submitted correctly depending on visa type.
- Accepting delivery of visa applications from couriers and handling cash for visa fee payments.
- Responsibility for accepting, coordinating and checking all visa applications.

VISA PROCESSING TASKS
- Keeping accurate data on the Visa Applications Database and ensuring all applications.
- Dealing with scanned visa applications from Riyadh and Dubai on a daily basis including transferring the applications from a shared network, printing the applications and updating the databases where they are recorded.
- Completing handling checks on AVATS. Completing VTFs (Visa Tracking Forms) for each application and ensuring the file is placed in the correct trays for processing.
- Correspondence with visa applicants in relation to supporting documentation required and other visa queries.
- Completing document verification checks on all visa applications. Completing the Q/A verification checklists for every visa application to ensure applications are consistent with the visa and document criteria.
- Issuing visa stickers on passports and informing visa applicants of the status of their applications.
- Contacting applicants who have been refused visas and sending refusal letters as required.
- Filing and archiving of applicant files where the visa has been processed.
- Maintaining accurate and complete visa sticker batch records and presenting records to Head of Visa Office when completed.
- Dealing with visa appeals and updating the appeals database with the correct information.

Requirements

- Experience working in an administrative role within an organisation is a requirement. In particular demonstrating an ability to process and/or respond to large volumes of correspondence, documentation and information.
- Knowledge and experience in visa-related work and/or working in an Embassy administrative role is desirable.
- Customer service experience dealing with clients from varied backgrounds and nationalities.
- Excellent IT skills including knowledge of Microsoft Office applications.
- Must have an appreciation and understanding of working with information and documentation that is confidential and sensitive in nature.
- Communication Skills Excellent communication skills and an ability to communicate information clearly and concisely.
- Fluency in Farsi, English and Arabic a requirement.
- Fluency or ability to speak other languages is desirable.
- Customer Service Skills Ability to be helpful and understanding of customer needs and to offer appropriate advice and information as required on visa-related matters.
- Team-working Ability to be a good team player and work well with other Embassy staff.
- Ability to encourage and support others where necessary.
- Ability to work towards shared objectives and within set guidelines and procedures.
- Initiative Ability to anticipate what needs to be done and do it. Able to work without direct supervision and to take ownership of the tasks and responsibilities required from the job.
- Administration/Organisational Skills Ability to be clear, concise and accurate in dealing with applicant files, documentation and visa-related correspondence.
- Ability to manage information and documentation effectively.
- To consult and seek advice where needed and the ability to work in tandem with set visa office policy, guidelines and procedures.
