Employment: Full Time

This position is with the Boeing Saudi Arabia Limited, shared Services Group, International Business Support to support Boeing entities in Saudi Arabia.

Key Skills and Responsibilities:

Under the supervision and directions of the local entity Business Support Manager and in coordination Immigration Team Lead provides all the required Administrative Support includes Employee Services and Non-Production Procurement assistant to support for BIBS (Boeing International Business System):

Supports other administrative functions in support of the International Business Support (IBS) work scope in the region.
Ensure office administrative operations are in compliance with government laws and regulations, company policies, and professional standards.
Providing employee support services to include administering insurance, supporting travel and expense reporting, providing relocation support, providing housing and transportation assistance.
Coordinating and supporting executive and non-executive company visitors, conference, and other special events to ensure the achievement of business objectives thru SSG-IBS.
Assists international assignees with coordination of relocation services, visas and travel, etc. Compiles data and posts information to various electronic information systems as needed.
Conducts new employee office orientation (e.g. checklist) and set-up and departing employee exit administration for IBS office issued processes and tools.
Communicates effectively with internal and external personnel and customers.
Compile and maintain office records per records management retention and information security policy and also ensures completeness and accuracy of data.
Create, edit and maintain electronic and written communication in both Arabic and English.
Assist in coordinating and planning the execution of executive visits, conference and special events related to permits and passes.
Opportunity to act as back up to other team members as needed and also works under minimal supervision.
Support planning and implementation of IMEA Executive visits of Shared Services personnel.
Works closely with the Travel at Boeing Concur booking and expensing system.
Preparation of executive itineraries utilizing Microsoft Office Word, Powerpoint and Excel.
Completes executive briefing charts utilizing Powerpoint.
Preparing weekly and monthly reports, and provide employee and project information and statistics required for supporting other functions.
Administrative support for filing, document and record retention.
Communicates effectively with internal and external personnel and customers.
Develops a strong working relationships and partnership with business partners.
Duties subject to change per management requirements.
Provide assistant on non-production procurement to Business Support Manger and BIBS specialist.
Sets up the procurement lean process thru BIBS and assist new employees on BIBS for training or coaching.
Communicates effectively with internal and external personnel and customers.
Develops a strong working relationships and partnership with business partners.

Requirements

Competencies:

Proficient in English and Arabic language: reading, writing, speaking. Demonstrated written, oral and interpersonal communication skills, including the ability to retain composure and flexibility under pressure, to facilitate effective working relationships and workflow.
Demonstrated professional qualities of integrity, reliability, confidentiality, initiative and the ability to work proactively with minimal.

Qualifications and Experience:

Professional with high service delivery and customer focus.
Knowledge of MS Office applications (Word, Excel, Power Point).
Methodical and thorough with a focus on detail and completion of tasks. Positive and proactive working attitude and high ethical and integrity standards.
Strong organizational and interpersonal skills and ability to work cooperatively as a team member. Willingness to learn and apply new skills.
High school diploma and typically 4 or more years' related experience on the following: Government relations and general understanding of in-country laws and regulations for labor immigration.

Benefits and pay will be determined at the local level and are not part of the Boeing U.S. based payroll, and will be commensurate with experience and qualifications and in accordance with applicable KSA law. Candidate must be willing to work, at times, flexible schedule and support international phone calls during off hours. Some local/international travel may be required.
