Our Client is one of UAE’s leading Automotive Dealership, offering a progressive business portfolio which encompasses international brands. The Group has been recognized by its reputation as a successful, innovative and dynamic and aggressive organization composed of a multicultural workforce.

They are now looking for a dynamic and highly motivated Arabic speaking Secretary to provide an efficient and responsive administrative and organisational to the Marketing Manager, helping him to manage and prioritise his time.

Job Overview:

• Manage and maintain the Marketing Manager’s diary and email account.
• Filter emails, highlight urgent correspondence.
• Ensure busy diary commitments, papers, and travel arrangements are managed effectively.
• Conduct weekly diary meetings with the Marketing Manager to discuss upcoming engagements, invitations and other requests.
• Schedule on behalf of the Marketing Manager meetings between him.
• Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the Marketing Manager match his requirements.
• Filter general information, queries, phone calls and invitations to the Marketing Manager by redirecting or taking forward such contact as appropriate.
• Manage the process of calling for briefing on behalf of the Marketing Manager from start to finish ensuring that he is fully prepared for all engagements.
• Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Marketing Manager.
• Prepare correspondence on behalf of the Marketing Manager, including the drafting of general replies.
• Minute general meetings as required and complete research on behalf of the Marketing Manager.
• Keep and retrieve files.
• Ensure guests meeting with the Marketing Manager are well taken care of.
• Provide a service that is in line with the Marketing Manager’s work habits and preferences.

Requirements

Skills and Qualifications:

• Demonstrated experience as a Secretary in a highly pressurised environment requiring tact, judgment and discretion in handling internal and external contacts (essential).
• Experience of diary management/researching and booking of travel and accommodation (essential).
• Experience of successfully working with senior management (essential).
• Must have minimum 3 years’ relevant experience.
• Proficiency in MS Office (Word, Excel, PowerPoint).
• Exceptional skills as Team Player, Self-Starter, Result Driven and Out of the Box thinker in a cross cultural and fast paced environment.
• Demonstrates an excellent leadership, time management, organizational and reporting skills.
• Superior Level Communication and Interpersonal skills.
• Female Arabic speaking candidates ONLY.
