Business Support Assistant
Our client, a multinational organisation specialising in Banking products is seeking a Business Support Assistant for their new office in Doha, Qatar. The successful candidate will report directly to the Market Manager-Qatar, Oman and Kuwait.
The person will be responsible for providing administrative and secretarial support.
Administrative Support to Qatar Office
Effectively support Country/Account Managers in managing the Doha office;
o Manage the calendar of the Market Manager, taking into consideration the different time zones and work-week of Qatar and the rest of the world;
o Organise management meetings;
o Prepare agenda / taking of minutes;
o Arrange working lunches where required;
o Liaise with IT to ensure that technical requirements of meetings are taken care of (e.g. laptop for group webinars, presentations, videoconference);
o Screen calls.
Travel Coordination for Market Manager and Functional Leads:
Bookings and co-ordination of all travel arrangements (international and local), for Market Manager and Functional leads in the Qatar Office:
o Drawing up of detailed travel itineraries for these trips;
o Co-ordinate travel arrangements (hotel bookings, visas, invitation letters, booking of airport transfers and ground transportation, etc.;
o Where necessary, liaise with other MasterCard Offices to arrange for meetings.
Assist and co-ordinate in all travel arrangements for all incoming visitors for the relevant department and assisting guests in obtaining entry visas;
Complete Expense Reports (Travel and Entertainment) on monthly basis for Market Manager and Account Managers.
General Admin Support
Manage and co-ordinate monthly team events and meetings. Organise and co-ordinate any office event arrangements (Workshops, Conferences, Seminars, etc.);
Preparation of MS Powerpoint presentations for the Team;
Extraction of Data from relevant MIS systems when required by the Team.- ie MyMPA, QMR etc.;
Type all memorandums and letters with a high margin of accuracy, including formatting of MS Word documents;
Co-ordinate orientation of new staff in the relevant departments;
Co-ordinate H.E.A.R.T Awards (Staff Recognition Programme);
Co-ordinate internal training, including the booking of training facility/venue, preparation of training materials, etc.;
Serve as administrative liaison to others within and outside the company;
Purchase Order creation and processing of vendors invoices;
Maintaining department records.
- Relevant experience in the field of administration supporting a team within a new office within the area of Qatar;
- Advanced skill in use of MS-Office application particularly MS-Excel and MS-PowerPoint;
- Must have excellent English and Arabic communication skills both in written and speaking terms;
- Must be currently located in Qatar as relocation will not be available;
- Must be a team player and is flexible on the job as this is a start up of a new office.
