Executive Assistant - Dubai

I have been retained by my client to recruit an Executive Assistant for the Managing Director of this prestigious company based in Media City. The position will see the individual ensure the smooth running of the department on a day-to-day basis.

- Extensive and complex diary management; preparation of detailed international travel itineraries (visas, correspondence support and management of highly confidential matters).
- Manage and administer meetings (including taking meeting minutes and actions points) and conferences; both local and international including: Board meetings, Executive Leadership Team & corporate social events.
- Receive and interface with senior clients and partners.
- Provide administrative support; expenses, correspondence, IT requests, file management & interface with all internal departments.
- Screen telephone calls of the MD, taking appropriate action where necessary.
- Ensure an effective file management system is maintained for both paper and electronic documents for MD.
- To work effectively and collaboratively with other EAs to ensure efficient internal organisation.
- Proactively assist in the organisation of appropriate social events on an adhoc basis
- To proactively identify and address issues that will affect ongoing business effectiveness
- Adhoc duties assigned to you by MD
- Visa coordination for the management team.
- Support the MD, the Finance Department & Management Team with presentations and the preparation of various business reports.
- Liaise with regional staff with administrative matters,
- Management of the office and its general maintenance,
- Flexibility to take on extra roles and responsibilities to support the management team to ensure the smooth running of the business.

Requirements

Preferred Qualifications:
- Bachelors Degree in Human Resources, Business Administration or relevant degree
- Masters is a plus

Preferred Experience:
- 5-7 years of relevant experience in compensation and benefits

Job-Specific Skills:
- Ensure advice or influence is in line with values, ethics and norms of the institution
- Knowledge of business needs regarding reward and retention
- Broad technical skills and solid knowledge of C&B systems and practices
- Systematic collection and analysis of information based on set targets and activities
- Experience with companies policies, rewards and benefits
