Job description / Role

Employment: Full Time

Customer service and sales manager(s) form a team with the commercial and technical marketing functions of the business team(s)/business line(s). Customer service is responsible for processing and monitoring orders, answering or passing on inquiries

Requirements

- Processing customer inquiries and offering advice, in consultation with the sales manager

- Sending out data sheets, brochures and other information

- Checking customer requirements

- Drawing up offers, in consultation with the sales manager

- Checking orders

- Updating key data for existing accounts and opening new accounts

- Entering and updating call orders and delivery schedules for existing accounts

- Order entry, order confirmation and change-orders

- Monitoring the progress and time-scale of current orders, reactions to sample deliveries, and success analyses

- Telephone support, including order monitoring; taking steps against a decline in orders, in consultation with the sales manager

- Export regulations

- Handling complaints in consultation with the sales manager, business team or business line

- Processing return deliveries

- Issuing credit and debit notes, in consultation with the sales manager

- Distribution of bottleneck products to customers, in consultation with the sales manager

- Acting as an information center for troubleshooting

- Checking invoices, plus filing

- Local pricing administration

- Monitoring credit limits and general delivery agreements

- Inventory control and planning, in consultation with the relevant managers

- Compiling reports, statistics and forecasts in consultation with the sales manager

- Monitoring agreed plans and targets, in consultation with the sales manager

- General assistance and secretarial duties, to support sales and marketing activities (if specifically requested)

- Coordinating appointments and making travel arrangements for sales managers (if specifically requested)

- Receivables management

Special duties are to be defined individually, for example:

- Key User (SAP R/3 SD, SMART, IT)

- Dealer support

Job requirements for customer service representative (CSR)

Training

Commercial and technical training (e.g., commercial apprenticeship, or similar)

Knowledge

- At least two languages (native language plus German or English)

- Basic commercial knowledge

- Basic chemo-technical knowledge

- Knowledge of logistical processes

- Good computer skills, inclusive SAP

- Several months’ training in industry
