Job description / Role

Employment: Full Time

Primary Duties and Responsibilities:
- Enter specific data from the source documents into computer or into disk for subsequent entry, using keyboard or scanning devices.
Archive completed documents.
- Delete incorrectly entered data.
- Re-enter data in verification format to detect errors.
- Compare data entered with source documents.
- Compile, sort, and verify accuracy of data to be entered.
- Keep record of completed work.
- Administer, monitor and support Master Database Maintenance workflows through effective coordination with the assigned departmental focal points and end-users.
- Maintain Quality Module database and associated Standards and Specifications for materials marked in QM of SAP. Record and follow-up status of all material held in quarantine pending documentation, replacement or repair.
- Assist with the training keying in Master Data in accordance with established Company policy.
- Use company standard software, analyse material commonality, create reports, prepare graphical presentations and recommendations.
- Prepare large volume data of material/service ready for uploads to SAP.
- Ensure adherence to all SHERQ policies, procedures and standards to safeguard Company personnel and assets.
- Obtain qualitative Digital Images of the selected items in coordination with the Warehouse.
- Advise user departments on status of Material/Service Master Creation, standardization progress, material inspections etc. whenever is required.

COMMUNICATIONS & WORKING RELATIONSHIPS:

Internal:
- The Material/Services Master Database is the core part of refer in the Materials Management module in SAP.
- Daily contact with Materials Integrity Controller to discuss work priorities.
- Frequent contacts with Materials Integrity Controller, to discuss material/service descriptions and specifications.
- Co-ordinate and administer with all user departments on material description verification, material/service master maintenance, inspection and standardization.
- Frequent meetings and close coordination with the Warehouse to efficiently take qualitative digital images of the items.

External:
- Vendors/Contractors.

Requirements

QUALIFICATIONS, EXPERIENCE, & SKILLS:

Minimum Qualification:

- Higher Technical Diploma in technical discipline, or equivalent.

Minimum experience:

- 3 - 5 years experience in materials master data entry preferably in the Oil and Gas Sector.
- Knowledge of materials specifications .
- Typing speed not less than 40 words-per-minute.
- Taking digital images is considered additional skill.

Job Specific Skills:

Computers and Electronics:

- Knowledge of computer hardware and software, including applications and programming. Preeminent experience with MS Office.
- Clerical - Knowledge of administrative, clerical procedures and systems, such as:
- Word process, manage files and records, stenography and transcription, design forms, other office procedures and terminology.

Experience in dealing with user departments, expeditors etc. in the Oil & Gas Sector.
- Experience in Document Management System using electronic/manual files, photocopy and distribute as directed.
- Computer literacy, good knowledge of Microsoft packages (Word, Excel, PowerPoint etc.), materials management and reporting systems software.
- Knowledge of SAP is an advantage.
- Good written and oral English skills.
- Use hands and arms in handling, installing, positioning and moving materials, in warehouse environment, if required.
