Employment: Full Time

To assist in developing and managing project processes and tools to be used to collect, collate and store data related to the Professional Development contract and provide reliable back up services. Provide the Project Coordinator and senior staff with reports linked to internal project marker points and contract deliverables. Ensure that IT provision for the PD team operations in Abu Dhabi can be used to maximum effectiveness through infrastructure monitoring, proactive maintenance and repair, providing helpdesk facilities. Support the Project Coordinator in liaison with Abu Dhabi Education Council (ADEC) with the sharepoint supporting the Professional Development Project.

Requirements

• To provide an administrative support service to the project; including maintaining administrative systems
• To support agreed project management processes and administrative systems to ensure projects run efficiently and information is up-to-date and readily available
• To support the Project Coordinator in research, sourcing and collation of data, and background information relating to project deliverables
• To undertake other duties and general administrative support to the team as directed by the Project Coordinator
• To support the reporting process for the project to the Client (ADEC) and CfBT MENA senior staff
• To support the reporting and logging of risks and issues, in consultation with the Project Coordinator and Programme Director
• To develop and organise central drive ensuring periodic maintenance and updates of folders
• Have good knowledge of Client’s share point; including browsing and monitoring data upload
• Support colleagues as required with the installation of appropriate programs for the professional production and delivery of all training materials – bilingually where appropriate - formatted and knowledge-managed for future reference by CfBT and the Client
• Provide IT support to all team members. This will include support via telephone, remote access methods and site visits. Work closely with the Project Coordinator, to ensure timely resolution to escalated problems
• Manage the expectations of all IT users by ensuring they are aware of CfBT IT Policies and guidelines, procedures and requirements
• Document the IT infrastructure for all team members and maintain a change control log to ensure an accurate record of the infrastructure is available at all times
• Document and categorise solutions to common problems and inform IT users
• Maintain an IT hardware inventory for all team members to ensure an accurate record of all equipment purchased, in use and disposed off. Ensure each piece of equipment can be tracked by make, model and serial number
• Ensure the security of the IT infrastructure in team offices is maintained at all times to reduce unnecessary risk. In particular ensure that anti-virus software is installed and up to date on all computers at all times
• Manage network and email user accounts for the PD team in consultation with the Project Coordinator and carry out routine network maintenance tasks to ensure the reliability and availability of services
• To make a personal commitment to follow the PD team communication policy and protocols to ensure information is passed on and acted upon in a timely and effective manner
• To support the principles of the reform agenda including compliance with the ADEC Code of Conduct
• Ensure the integrity of data by performing and monitoring all necessary data backups where appropriate
• Ensure that CfBT standard policies and procedures as adapted for the MENA region are followed
• Any other reasonable duty as may be assigned that is consistent with the nature of the job and its level of responsibility.
