Job Description

The ideal candidate will manage, develop, and deliver the document control scope within integrated security systems such as access control, alarm and camera systems for large scale project. The work responsibilities will be carried out under a variety of conditions in various locations and occasionally with little supervision. The project document manager must have the experience of managing similar scope within large and complex projects, preferably in the GCC.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other functions may be assigned.

Responsible for implementing and maintaining the Document Control Management System and overseeing that all updates to program documents are being captured, collected, stored and disseminated through the proper channels to all concerned parties and ensuring that teams working on the program are using the latest version of the documents.
Ensures that the procedures with respect to document retention, archiving, and destruction and disposal of void documents are followed.
Implements approved document/data management solutions with a primary focus on document control and records management.
Adheres to approved procedures and ensures that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
Manages the receipt, tracking, and monitoring of documents through the use of standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required.
Maintains an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements. Expedites review, signature approval, and release of supplier and internally produced documents.
Manages the document control staff to ensure effective implementation of project-specific procedures.
Maintains competitive advantage by staying current with industry best practices and latest quality tools
Communicate and present quality plans to client and senior management as per the project requirements
Develop, document, and maintain standards, best practices, or system usage procedures.
Flexibility to work overtime/weekends, as required.

In order to be successful, the candidate must be able to multi-task, demonstrate excellent organizational and computer skills, be dedicated to projects support, and independently make decisions for very complex operations focusing on accuracy, consistency and efficiency.

This position is required to closely interact with the Project Managers, sub-contractors, and material suppliers to ensure timely completion of a detailed cost estimate.

Requirements

Document Control Certification or three (5) years experience in a security or electrical installation projects.
Minimum of seven (5) years work experience in the construction industry with a general/electrical contractor engaged in general building construction.
Minimum of five (5) years work experience as Project Document Control Manager on projects exceeding $10 million USD.
Knowledge of a wide range of construction materials, methods and techniques.
Capable of coordinating and documenting all project activities
Project Manager Professional Certification preferred
Experience in MS Project (create and manage)
Working knowledge of Microsoft Word, Excel, PowerPoint, AutoCAD, Adobe Acrobat and/or
Primavera.
Demonstrated capability to clearly communicate expectations to team members and stakeholders
Demonstrated capability to track and report project milestones in a timely and concise manner.
BA/BS degree preferred.
Demonstrated capability to read and understand computer aided design using AutoCAD.
Demonstrated capability to interpret project documentation to co-workers
Excellent communications and problem solving skills
Must have own transportation
Read, write and speak English
