Job description / Role
- Take direction from skilled document control personnel to enhance skill set within Project Document Control team as well as company's Document Control team.
- Process all generated Project official documentation (includes engineering/technical, correspondence, project management - commercial, legal) to be stored in the Document Management System
- Process transmittal of information
- Record Project documentation
- Work with other Project Document Controllers across continents
- Liaise with customers as required
- Coordinate the asset teams on Interface document flow
- Check/validate/verify all documentation, including correct numbering, revisions, status, format, title and legibility.
- Issue of standard and ad hoc reports and registers.
- Compile complete document(s) from multiple sources.
- Prepare table of contents and reference lists.
- Generate and organize transmittal letters.
- Format figures, tables, headings, captions, cross references, etc.
- Ensure the Project Editorial Style Guide is adhered to (training provided)
- Troubleshoot MS Word and other common IT issues (as needed)
- Rigorously apply and uphold version control.
- Work within tight schedules.
- Organize and manage electronic files/documents.
- Interpret and incorporate reviewer comments.
- Manage reviewer comments as they apply to document revisions.
- Distribute, receive and control the project related documents.
- Maintain the Quality Assurance records relating to project documents.
- Support the Document Control/Record Management Manager to create and modify the Document Control procedures/guidelines.
- Support Project Managers to create and modify project specific document control procedures.
Requirements
- 5+ years of relevant experience within the construction sector preferred
- Experience with SharePoint or Livelink document management system
- Experience with SAP
- Experience related to engineering document management on projects with a focus on the construction and handover phases of the projects preferred
- AA/AS degree or completion of technical courses preferred
- Good communication and influencing skills, across the project irrespective of seniority, organizational or contractual boundaries.
- Experience working with large contractor organizations and performing effectively in a multi-disciplinary, multi-cultural environment.
