Job description / Role

Employment: Full Time

My client is currently searching for an EA to support 2 senior individuals.

Responsibilities to include:
- Produces standard documentation including BD presentations, proposals, search strategy, position specifications, research reports and shortlists candidate reports.
- Proof reading documents and formatting
- Types and sends all correspondence, including acknowledgements, confirmation, rejection and congratulations letters
- Manages the data entry process using encore system by daily input of information and regular update of client, candidate and sources records
- Collates and updates desk research documents; previous assignment records, directories, annual reports, press collections etc.
- Establishes and maintains an industry sector library; company brochures, annual reports etc.
- Checks general office e-mail on a regular basis and follows up accordingly
- Arranges business development meetings interviews, maintains appointments and meeting room reservations
- Handles all travel arrangements for allocated Partner, candidates and third parties required
- Answers the telephone and takes accurate messages
- Assists on search assignments by gathering industry and/or target companies information
- Managing the administrative part of opening and closing projects in encore
- Issuance of invoicing and following up on debtors payments
- Managing Shortlisted Candidates Education Verification process
- Organize 40 days Audit Calls for allocated partner
- Handles the client and candidate satisfaction program after completion of each search assignment by issuing the questionnaire to the client and all short listed candidates
- Ensures all filing systems are accurate and up to date

Requirements

- Degree educated, with 5 years experience in an administrative environment ideally recruitment or HR.
- Must possess a good understanding of office management tasks preferably in a multinational corporation. Understanding of the human capital market in general would be highly advantageous.
- Effective interpersonal and communicating skills spoken English must be exceptional clear and strong. Skillful in dealing with senior management (including Partner / Director level) and multicultural teams.
- Displays excellent organization skills combined with a hands-on approach and a can-do mentality. Sees the implications and consequences of actions in the long-term
- Uses a structured and systematic approach to organizing work activities. Ensures there is an appropriate administration methodology in place.
- Anticipates problems and thinks through complicated issues. Carefully defines solutions and adapts a proactive attitude towards suggesting innovative ideas
- Shows clear signs of a team player
