Job description / Role

Employment: Full Time

Our established and forward thinking client, based in Sharjah is currently searching for a highly experienced and professional EA to join their busy and high pressured team to provide direct support to the CEO. Duties will include:

- Regularly handles confidential and/or sensitive information and ensures this information is handled correctly and in a confidential manner
- Assisting the assigned direct report in the timely management of all communication, both written and via telephone, e-mail and voice mail from a variety of constituents; compose letters and other information independently and as assigned, and efficiently follows up with all communications that require answers, responses and written replies.
- Schedules all appointments, meetings, conferences and seminars for the Group CEO as requested; supervising the preparation of materials for meetings as appropriate
- Preparing agendas; attending meetings, takes and transcribes meeting notes and all other correspondence either through handwritten notes and\or machine dictation. Maintains and updates all the files in the Group CEOs office.
- Plans and coordinates all travel arrangements, including accommodation, transportation and visa arrangements. Organize schedule of visits, notifies companies and officials to be visited.
- Coordinates and prepares for meetings; assists in agenda preparation, gathers information and contacts meeting participants and takes all meeting minutes for the Group CEO and Management meetings.
- Reviews all documentation for signature ensuring the required supporting documentation is attached, referring any of these back to the department or entity concerned.
- Drafts PowerPoint presentations, memos, spreadsheets and expense reports as required.
- Carries out research on a variety of topics are assigned by the Group CEO, includes compiling information and structuring it in a report format as required
- Handling the Group CEO Leave management effectively.
- Performing other related duties incidental to the work described herein as requested.
- Demonstrating a high degree of professionalism, initiative and independence in supporting the Chairman on a wide variety of complex issues

Requirements

- A minimum of 5 years experience providing EA support to C-line level.
- Excellent communication skills
- Impeccable organisational skills
- Fluent in MS Office suites
- Proactive approach to the role
- Able to work autonomously
- Must be resilient
- Must thrive within a high pressured and ever changing environment
