Job description / Role

Employment: Full Time

PLEASE NOTE - FOR EMIRATI / UAE NATIONALS ONLY. OTHER NATIONALITIES WILL NOT BE CONSIDERED.

JOB PURPOSE:

Ensure proper handling of all outgoing mails from the Documentation Division.

RESPONSIBILITIES:

1. Operations and Process Responsibilities:

- Handle all outgoing mails from the Documentation Division, as follow:

* Ensure proper recording of all outgoing mails
* Make copies of all outgoing mail from the Documentation Division and ensure timely filing of the same in the appropriate files
* Organise for the mail to be send by courier/internal mail to business units or to other concerned Divisions as appropriate and on the same day as handed over to the Administrative assistant or administrative officer.

- When necessary, assist Management in report generation

- As back-up, handle all incoming mails coming to the Documentation Division including proper recording of all incoming mails and organise for proper and timely distribution of the mail between the staff of the Documentation Division.

- Assist Administrative and Documentation Officers on any other ad-hoc tasks, including handling of ADCP cases when needed, as follow:

* Prepare Security/ Charge documents relating to facilities approved under the Abu Dhabi Finance Department Commercial Buildings Scheme monitored by Abu Dhabi Commercial Properties (ADCP).
* Seek Head Documentation Division advice for preparation of non-standard documents; and
* Liaise with Engineering Division & ADCP officials on perfection of approvals from A.D Finance Department and completion of proper source documents.

2. Customer Service:

- Process the handling of documents within agreed turnaround time.

- Punctual, accurate and willing attitude/eagerness to learn more

- Meet service level standards to ensure internal customer satisfaction.

3. Compliance / Control:

- No adverse audit comments.

4. Occasional Duties:

- Work on specific assignments as and when required by Documentation Division Management.

Requirements

MINIMUM EDUCATION LEVEL:
- Educated to the level of a University Degree

EXPERIENCE:
- If no university degree, at least 1 year of banking industry exposure.

CANDIDATE REQUIREMENTS:
- Bilingual (English and Arabic)
- Computer literate
- Willing attitude and pro-active
- Good unit player
