The RoleThe RoleThe British Embassy, Abu Dhabi is seeking an enthusiastic and reliable Executive Assistant. DUTIES AND RESPONSIBILITIES The successful candidate will support a small team of officers, through: Principal responsibilities • Maintaining diaries, organising meetings and facilitating travel arrangements • Answering mail, e-mail and telephone inquiries • Preparing and issuing diplomatic notes • Assisting with programmes for visits and missions • Providing general clerical support (eg in-trays, out-trays, correspondence, minutes of meetings) • Receiving visitors, including senior visitors and VIPs • Assisting in the organisation of social events • Maintaining budget records • Maintaining local contact and other similar databases • Ensuring adequate stocks of stationery and office supplies • Performing other administrative duties as required Additional responsibilities • Supporting projects, primarily aimed at enhancing UK/UAE relationships and Embassy capabilities • Monitoring follow-up to agreed actions • Liaising with internal and external stakeholders to support project and other requirements • Maintaining project documentation • Reporting on project outcomes This role will concentrate on support for the Embassy’s political work. However, the jobholder may be expected to work closely with another Executive Assistant to provide support on judicial/police work, on Embassy management issues, and to the Ambassador’s office, as required. The Embassy operates in a dynamic environment, meaning that the responsibilities of the role may evolve over time. |
RequirementsRequirementsWe welcome applications from UK, US, Canadian, Australian and New Zealand citizens. Essential Demonstrated ability and experience in PA support positions with excellent computer skills (Microsoft Word, Excel, Access and Powerpoint). Excellent customer service skills and telephone manner. Demonstrated initiative, adaptability and the ability to work flexibly both in a small team and individually. Demonstrated ability to communicate effectively in English, both oral and written, at all levels. Excellent organisational skills, including ability to organise workloads, set priorities, meet deadlines and maintain close attention to detail. Desirable, but not essential Good written and spoken Arabic. Audio-typing and shorthand skills OVERVIEW General Embassy working hours are 7.30 a.m. to 2.30 p.m. Sunday to Thursday. The starting salary will be Dirhams 7,680 per month. Additional job training will be provided using our training resources locally, in Dubai, or in London Application Process Applicants must attach an up-to-date CV and include a letter of application addressing the key selection criteria, professional references and a recent photograph.
