Job description / Role
Miller Hay have an exciting opportunity for a young and enthusiastic Executive Assistant with our client a global financial services organisation. This is a key role within a growing organisation and provides an interesting opportunity for a highly motivated, enthusiastic and trustworthy individual looking for a diverse role. This position requires someone who is comfortable working remotely and therefore needs to be self motivated.
Role:
End to end management of client meetings including preparation, minute taking and follow up
Diary management including arranging both internal and external meetings
Extensive travel arrangements, booking business travel and accommodation, visas, meeting rooms, conference calls, restaurants, cars etc
Processing of credit card and cash expenses and completion of expense claims and invoices
Inter-departmental liaison, including coordinating conference calls with international offices and managing different time zones
Update executive contacts in Outlook, answering the telephone and dealing with all calls professionally
- Printing, binding, scanning, gathering meeting materials
- Assisting with PowerPoint presentations, formatting, creating slides
Requirements
Have excellent communication skills with a very high attention to detail
Demonstrate a proactive approach with the ability to pre-empt tasks
Have the ability to work well under pressure, manage workload, conflicting priorities and deadlines effectively
Be extremely flexible and willing to work additional hours and travel when required
Thrive in a dynamic business where accuracy, hard work and flexibility are imperative
Have the ability to work with various personality types
Have intermediate skills in MS Word, PowerPoint and Excel and advanced skills in Outlook
Be extremely organised, excellent attention to detail and follow-through and delivery
Be resourceful and have the ability to work independently
Have the ability to exercise appropriate judgment and discretion, especially when handling confidential information
Be trustworthy, honest and have integrity
