Executive Assistant - Dubai

Our client wants to recruit an Executive Assistant for the Managing Director of this prestigious company based in Media City. The position will see the individual ensure the smooth running of the department on a day-to-day basis.

- Extensive and complex diary management; preparation of detailed international travel itineraries (visas, correspondence support and management of highly confidential matters).
- Manage and administer meetings (including taking meeting minutes and actions points) and conferences; both local and international including: Board meetings, Executive Leadership Team & corporate social events.
- Receive and interface with senior clients and partners.
- Provide administrative support; expenses, correspondence, IT requests, file management & interface with all internal departments.
- Screen telephone calls of the MD, taking appropriate action where necessary.
- Ensure an effective file management system is maintained for both paper and electronic documents for MD.
- To work effectively and collaboratively with other EAs to ensure efficient internal organisation.
- Proactively assist in the organisation of appropriate social events on an adhoc basis
- To proactively identify and address issues that will affect ongoing business effectiveness
- Adhoc duties assigned to you by MD
- Visa coordination for the management team.
- Support the MD, the Finance Department & Management Team with presentations and the preparation of various business reports.
- Liaise with regional staff with administrative matters,
- Management of the office and its general maintenance,
- Flexibility to take on extra roles and responsibilities to support the management team to ensure the smooth running of the business.

Requirements

- At least 3 years experience in a similar role working within the Middle East
- Highly proficient in the use of MS Office tools (Word, PowerPoint, Excel, Outlook)
- Experience in administering senior level meetings including minute/note taking (short hand desirable).
- Excellent interpersonal skills and able to deal effectively with people at every level.
- Able to prioritize multiple tasks.
- Experience and sensitivity dealing with confidential information.
- Excellent English oral and writing skills.
- Willingness to work irregular hours.
- Arabic speaking is desirable but not essential.
