Job description / Role

Employment: Full Time

Deliver timely, high-quality support services to CEO and Executive Committee (Exco). Ensure the highest standards of confidentiality are maintained. Act as a link between top Management and SA employees
- Accurate recording and typing of minutes, correspondence, reports, board paper
notices, etc. for CEO and Exco.
- Manage document management system for CEO and Exco members.
- Prepare agenda and distribute prior to meeting.
- Create, transcribe and distribute meeting minutes.
- Create a confidential correspondence and personnel filing system for the CEO in a secure location.
- Co-ordination of national and international travel programmes for CEO and Exco.
- Responsible for national and international plant visits and related functions hosted by CEO.
- Assist Exco with high profile visits coordination of PPE, catering, venues, etc.
- Schedule and manage appointments for the CEO.
- Administer bookings of Corporate Boardroom and maintain standard.
- Maintain good hard and electronic filing systems of all correspondence.
- Maintain up-to-date contacts list for board members, key government staff, local Walis and services.
- Coordinate expense claims and administrative costs relating to CEO and Exco

Company Monthly Reports:
- Assisting the CEO with the compilation of the monthly report by collating data from all departments.
- Prepare monthly report for CEOs approval.
Board Meetings
- Send invitations to board members.
- Collate information regarding travel and accommodation.
- Ensure smooth running of meeting regarding audiovisual, copies of documents etc.

Company Policies
- Maintain and update company database of current policies.
- Update, replace as required, and notify all managers when a new policy has been added.

Others:
- Assisting CEO with confidential projects.
- Preparing presentations on behalf of CEO.
- Research and report trends in Aluminium industry when required by CEO.
- Undertake any other duties as requested by the CEO.

Requirements

- A Bachelors Degree with 3 years of administration/secretarial experience dealing with senior employees.

OR

- A Diploma with 5 years of administration/secretarial experience dealing with senior employees.

- Must be proficient in all MS Office applications.
- Excellent organisational and interpersonal skills.
- Fluent in written and spoken English and Arabic.
