Job description / Role
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Represents the executive by attending meetings in the executive's absence; speaking for the executive.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Maintains customer confidence and protects operations by keeping information confidential.
- Prepares reports by collecting and analyzing information.
- Managing the day-to-day operations of the office
- Organizing and maintaining files and records
- Planning and scheduling meetings and appointments
- Preparing and editing correspondence, reports, and presentations
- Making travel and guest arrangements
- Providing quality customer service
- Working in a professional environment
Requirements
Must haves:
Three or more years of executive assistance experience with a multi-cultural global firm, preferably in the financial services or consulting industry with a demonstrated track record of time management skills, problem solving and highly refined client relationship skills.
Engaging personality, excellent communicator, assertive and confident.
Ability and willingness to work flexible and extended hours consistent with working with staff and dignitaries located around the world. This is an exempt position.
Excellent computer skills, especially with Office 2010.
Must complete and successfully pass technical exam.
