Job description / Role

Employment: Full Time

An opportunity has arisen for a client in Qatar for an Executive Personal Assistant to report to an Executive Director.

Key Responsibilities
• Act as the Executive Director's first point of contact with internal and external stakeholders
• Handle all correspondence such as memoranda, reports, circulars, action forms, contracts and obtain appropriate signatures and dispatch accordingly
• Draft letters from brief notes or oral instructions as required
• Do minutes of meetings as directed by Executive Director
• Relieve the executive director of any management of administration where possible
• Proofread material and submit for review and signature of senior management
• File approved documents into approved storage and/or filing systems
• Answer and transfer telephone calls as necessary, receive and convey messages, set up appointments, answer general queries, etc.
• Assist other departments in preparing standard proposals where required
• Schedule meetings as required and manage SD&A Executive Director diary/calendar
• Arrange travel, visas and accommodation for SD&A Executive Director in coordination with the Administration department, and occasionally, travel with the Executive Director team to take notes or dictation at meetings or to provide general assistance during presentations
• Perform any other duties assigned by the supervisor directly related or relevant to the job
• Ensure the assigned responsibilities are delivered:
• to a high standard of quality and timeliness
• in full compliance with the SC Quality Policy and the Safety and Security rules and requirements
• in line with any standards and objectives designated in the Employee Performance Management system

Requirements

• Minimum 6 years working experience as a personal assistant or similar position
• Typing speed of minimum 40 words per minute
• Effective telephone skills
• Strong communication skills both verbal and written
• Fluent English is essential; Arabic skills would be an advantage
• Strong computer skills
• Previous experience of working in the region and knowledge of local culture would be an advantage
• High attention to detail and accuracy
• Track record of maintaining confidential and sensitive information
• Problem-solving abilities
• Flexibility and a related ability to work autonomously
• A team player willing to work on tight timelines and pitch in when needed
• A positive attitude, patience and persistence, especially when dealing with various internal and external stakeholders
