Job description / Role

Employment: Full Time

• Responsible for scheduling, attending and preparing agendas for the Executives/ Customers/ Clients meetings and taking minutes

• Ensure all contracts/ agreements are reviewed, updated, with appropriate language and content. Recommends changes and edits and utilizes corporate templates if needed. Ensures contracts are corporate compliant prior to legal review

• Responsible for preparing highly confidential and sensitive documents and protecting the company's confidential information

• Read and analyze incoming memos and reports in order to determine their significance and plan their distribution/ circulation

• Responsible for making travel arrangements; air tickets and hotel reservations for the executives

• Prepare responses to correspondence (fax/email) containing routine inquiries

• Draft or prepare correspondence (fax/email) on behalf of the executives including proof reading for accuracy and correctness for the executives

• Greet visitors and determine whether they should be given access to specific individuals and direct them to the appropriate staff member

Requirements

1. Bachelor’s degree in Business Administration, Secretarial Diploma or a work-related equivalent

2. A minimum of 3 years experience with JVs agreements/ contract administration and knowledge in filing & Archiving System

3. A minimum of 3 years experience in an executive assistant/secretary role; preferred with contracting background in GCC

4. Excellent communication, organizational, interpersonal and administrative skills

5. Excellent good problem solving skills, good judgment, flexibility and adaptability

6. Knowledge in disclosing & handling information of a confidential and sensitive nature

7. Have training skill and the ability to train departments’ secretaries

8. Proficiency in Microsoft Office Applications

9. Results oriented and have high business expertise

10. Willingness to travel when required

11. Willingness to continually embrace personal and professional development
