Job description / Role

Employment: Full Time

The Event Manager will be responsible for the planning and coordination of all types of events each year including team building events, workshops, roadshows, conferences, parties, festivals and company owned events.
They will be reporting into the Events Director and be expected to fulfil monthly sales targets generated through their own leads lists and contacts. They must show resourcefulness and willingness to assist other team members in this process. They will be able to multi task and carry out these sales in conjunction with the event management process for any events which are pending.

Roles and Responsibilities:
• researching markets to identify opportunities for events;
• liaising with clients to ascertain their precise event requirements;
• producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets);
• agreeing to and managing a budget;
• securing and booking suitable venues or locations;
• ensuring insurance, legal, health and safety obligations are adhered to;
• coordinating venue management, caterers, stand designers, contractors and equipment hire;
• Supervising all event logistics (AV, F&B, security, room sets, faculty communications, etc)
• organising facilities for car parking, traffic control, security, first aid, hospitality and the media or larger events;
• identifying and securing speakers or special guests;
• selling sponsorship/stand/exhibition space to potential exhibitors/partners;
• liaising with marketing and PR colleagues to promote events;
• coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly;
• overseeing the dismantling and removal of the event and clearing the venue efficiently;
• post-event evaluation
• liaising with venues- conducting site checks, negotiating rates, checking contracts and coordinating logistics
• managing budget sheets for your events in line with your allocated budgets
• feeding in ideas on how to improve and develop the events and processes moving forward
• build and maintain a healthy number of new clients to achieve and exceed monthly targets
• develop and communicate a lead generation strategy
• database Management
• be able to put adequate contracts in place with all clients and suppliers.

Requirements

The successful candidate will have a minimum of 5 years experience managing high level, corporate events in business and consumer sectors.
They will strive to run successful events as part of a dynamic and highly professional team. This role requires the ability to work well under pressure in a fast paced environment and the ability to multi-task. Confident communication and excellent organisational skills are essential as the candidate will be responsible for a number of time sensitive events which will include many on going and competing deadlines.
The ideal candidate will be self–motivated and customer orientated with a clear understanding of event management process. The role requires an outgoing personality with drive to succeed and ability to maximise revenue. You will demonstrate a thorough approach to work and have the ability to achieve sales targets.
It is essential that candidates can demonstrate previous, successful experience in a customer facing sales role and have excellent presentation and communication skills.

Desired skills:

• Degree holder, preferably in Event Management/ Communication or related disciplines.
• 5 years work experience in Event Management Company or relevant industry
• Fluent in written and spoken English, another European Language and Arabic would be an advantage
• A good team player with excellent organizational skills, strong attention to details and capability of multi-tasking
• Proven time management, problem-solving and negotiating abilities
• Good leadership and inter-personal skills
• Financial competency and accuracy in budget and cost management
• Negotiation skills
• Prepared and able to undertake frequent International travel
• Strong IT skills including PowerPoint, Excel & database management
• Ability to manage a significant workload and adhere to tight deadlines.
• Creative, positive energy, self-directed, amiable, and composed under pressure.
