Job description / Role

Employment: Full Time

- Assist the Facilities Supervisor in all aspects of project implementation as needed.
- Support the Facilities Supervisor with external contacts as needed.
- Represent the Facilities Department in inter-departmental meetings to support and facilitate.
- Coordinate all Facilities activities, work direction, and support systems.
- Supervise and train facility employees and contractors as needed.
- To handle and actively resolve any customer issues according to the Customer Complaint process.
- Handling and Maintain Purchases and contracts in order to obtain (Quotations, PRs, POs, Invoices, etc).
- Independently maintain and update administrative policies and processes.
- Set up, maintain, and organize department's central files, information, filing, and messages.
- Assist facilities staff in locating parts, supplies, and materials.
- Prepare and maintain RFPs (request for Proposals), bid information, and other contract documents.
- Provide administrative support to the Facilities team.
- Manage the CMMS system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration.
- To keep control of all stock and spares requirements to allow continuity of service.
- To produce any monthly reports in accordance with company deadlines.
- To ensure you resolve to the satisfaction of the company any issues relating to the performance of company approved suppliers / Sub Contractors.
- Must have strong interpersonal skills and ability to work in a team environment.
- Responsibility for follow-up on actions based on various team projects.
- High organization skills in managing multiple projects simultaneously.
- Ability to perform and manage technically complex projects using independent judgment and personal initiative.
- Build strong internal and external relationships using effective verbal and written communication skills.
- Recognize and act on opportunities; adjust direction when situation warrants.
- Must be a provider of excellent customer service.
- Work cooperatively with others.
- Work independently with little direction.
- Meet schedules and time lines.

Requirements

- Will provide administrative support to the Facilities Supervisor and the Facilities organization, manage office functions including Work Order coordination, and access assignments, database management, daily office operations, coordination of budgeting/accounting systems, maintaining office records, and providing general support services for the divisional staff.
- Associates degree / Diploma and 2 years of facilities management experience.
- Candidate holding GCC driving license is advantage.
