Job description / Role

Employment: Full Time

Responsible for all Facilities and Health and Safety related issues, including, but not limited to: CfBT property management, office health and safety, implementation of various policies, and administrative and support services for internal and external stakeholders associated with CfBT Regional Office.

Requirements

Tasks and key accountabilities

• Monitor the implementation of any new systems, policies and procedures, ensuring a seamless adaptation, with a view to identifying any issues arising and making further recommendations for change, in liaison with the HR Regional Manager
• Ensure contracts are effectively managed throughout the term of the agreement, and identify operational problems and improvement opportunities in respect of supplier service and delivery issues. Manage and review contract agreements and commercial terms and conditions
• Seek and review preferred corporate partnerships, and establish a strong rapport, to ensure the most suitably appropriate and cost effective partners are on board
• Health and safety reports
• Ensure that all maintenance and Health and Safety matters at the CfBT Regional Office are acknowledged, tracked, repaired and reported in a timely manner, without comprising quality of repair
• Maintain data integrity of Facilities Database and contact list of preferred suppliers, maintenance facilitators and contactors
• Office utilities and lease
• Distribute mobile phones and SIM cards for new staff. Replace damaged mobile phones for existing staff
• Manage the auditing and implementation of Health and Safety Policies and Procedures for the CfBT Regional Offices
• Develop, implement and review policies and procedures where necessary
• Manage quality and cost control across all related business areas, including: property rentals, acquisitions, car hire / purchasing and servicing, civil and maintenance works, stationery supplies, and generally all third party suppliers associated with the CfBT Regional Office. Manage contract staff i.e. cleaners, drivers etc
• Act as CfBT liaison between vehicle hire and driver placement agencies
• Responsible for Facilities petty cash expenditure, control and reimbursement
• Ensure that CFBT standard policies and procedures are followed
• Ensure that resources are effectively deployed to meet the specified business objectives, key performance indicators, contractual requirements within stated time, cost and quality constraints
• Any other reasonable duty as may be assigned that is consistent with the nature of the job and its level of responsibility
