Employment: Full Time

Under the guidance of the Assistant Dean for Administration, this position supports the WCMC-Q faculty affairs function in the recruitment, appointment, promotion, re-appointment and career development of academic (faculty and non-faculty) staff positions at WCMC-Q and/or its affiliated institutions. Additionally, it supports the development and/or adaptation and implementation of faculty affairs-related policies, procedures and guidelines of CU-Ithaca and/or WCMC for WCMC-Q. This position takes on responsibilities assumed by departmental staff in New York and Ithaca and is required to monitor and process re-appointments upon expiration of each faculty and non-faculty academic staff employment agreement.

POSITION ACTIVITIES

Directs the process for the appointment, promotion and re-appointment of WCMC-Q faculty and non-faculty academic appointments, as assigned, including the collection of required appointment paperwork, drafting and processing of appointment-related correspondence and employment agreements.

Researches required faculty policies, procedures and guidelines. Implements faculty-related policies, guidelines and procedures for WCMC-Q faculty and non-faculty academic appointments.

Updates and maintains data on academic staff in the Faculty Affairs Management Information System (FAMIS). Contributes to the ongoing development of the database.

Monitors the status of incoming and appointed WCMC-Q faculty and non-faculty academic appointments. Tracks the processing and renewal of appointments under the Office of Faculty Affairs.

Staffs faculty search committees, as required, including, but not limited to, arranging meetings, preparing agendas and meeting papers, taking minutes, following up on action points.

Maintains an understanding of all processes and procedures associated with the appointment of all academic staff, and provides support and cover for Faculty Affairs colleagues as required.

Provides support to faculty affairs functions of licensing and credentialing of WCMC-Q faculty in Qatar, as required.

Establishes and maintains effective working relationships with stakeholders and partners, including departments in New York and Ithaca, WCMC-Q’s affiliated institutions, and Qatari authorities and agencies.

Performs other duties as assigned or required such as: gathering statistical data and providing internal reports as required; orienting new faculty on guidelines and policies and providing information to appointed faculty as required; supporting faculty development activities.

Requirements

MINIMUM REQUIREMENTS

Master’s degree or equivalent combination of education and experience.

Minimum of five years of progressive experience in an academic setting preferably involved with faculty affairs.

Previously demonstrated superior analytical, organizational and interpersonal skills

Must be able to write clearly and concisely in English

Must be able to work independently

Must maintain a high level of confidentiality; maturity and sound judgment interface with faculty and administrative leadership within WCMC-Q and, with
entities external to WCMC-Q, including CU, WCMC-NY, HMC, Sidra, Supreme Council of Health, and others.

Must be able to take initiative to creatively solve problems, plan and implement start-up operations and adapt needed changes quickly and effectively.

Prior experience with data management, analysis and report preparation is required.
