Job description / Role

Employment: Full Time

1. Handle communication & correspondence in & out through GM.
2. Ensure GM instruction delivered to all respective professional peoples.
3. Receive mails through email, fax, hard copies related with contracting-engineering, GM or any other management related.
4. Typing and layout letters, memos as assigned by GM.
5. Assist GM for proper filing of original documents and its filing system.
6. Coordinate with other manager and department heads regarding GM instructions and its follow up in professional manners.
7. Call all related personnel to attend meetings on time and fix agenda with GM prior to start of meeting.
8. Quote filing code as per filing system ISO 9001:2000 (WP-27-01/02) or file as quoted by Supervisor.
9. Recommend to add or delete filing codes in ISO 9001:2000 filing system as per ongoing lessons learned /complications.
10. File documents in respective project files after initial from Supervisor.
11. Proper take care of documents (original) and ensure that no any body take filed paper. (Only a photocopy can be provided).
12. Follow up with filing officer that copy of correspondence has been forward to site offices.
13. Issue documents to concern persons and get proper receipt to ensure paper handed over on time
14. Follow up with filing officer that all in-coming / outgoing correspondence has been logged and make back up.
15. Receive ISO and ensure that approved ISO from Supervisor must be delivered to originator (requester) as per ISO 9001:2000 process map.
16. Maintain File for copies of all instructions/approval signed by Supervisor as reference.
17. Control regulate deliver of mails through transmittal sheet compliance with ISO 9001: 2000.
18. Monitor filing area with assistance from filing officer, office boy, security that no documents take out without his/her information.
19. Study all related correspondence and file properly following (double entry system) in order to easy access of papers on right place on time.
20. Attend meeting and prepare minutes, receive approval and dispatch to concern person on time for actions (next day to meeting).
21. Perform similar duties performed by GM.

Requirements

1. Candidate must possess Bachelor’s Degree with minimum 5-10 years of experience preferable in real estate/construction/engineering industries.
2. Excellent in communication & interpersonal skills & able to communication to all level
3. Independent, enthusiasm, pleasant personality & able to work under pressure
4. Good computer skills especially with Microsoft Office i.e. Word, Excel, PowerPoint, etc.
5. Highly independent and motivated
6. Good spoken and written Arabic /English
