Job description / Role

Employment: Full Time

Handles the front desk involving basic reception duties and certain administration activities as required by the HR & Administration team including but not limited to:

- Greets visitors and directs them to the relevant employee.
- Ensures reception area is well maintained at all times.
- Keeps custody of the food coupons, oversees usage by employees and ensures usage data is sent to the Payroll team as per timelines for necessary recoveries.
- Receives all documents / material received from couriers / external parties, keeps a log of the same and ensure it is handed over to the relevant employee with acknowledgement.
- Coordinates with suppliers for processing of employee requests like new business cards, stationery, communication material like posters, handouts, translations, etc. This involves obtaining quotations and compiling the same for review by Supervisor.
- Coordinates with travel agencies for business travel bookings across the group in line with the Business Travel Policy.
- Handles documentation activities like preparing Goods Received Notes, LPOs, etc on the non-trading purchase module (Oracle). Coordinates with finance for payment related queries, status of LPOs raised and any other finance related issue within scope of work.
- Provides assistance in sending out basic group communication emails like Lunch Menus, etc.
- Acts as a replacement for other Receptionists in the company.
- Performs other tasks as assigned.

Requirements

- High school diploma or equivalent with minimum 2 years relevant experience
- Pleasing personality with excellent telephone and personal communication etiquette.
- Good communication skills in English - both spoken and written; Arabic speaking is not mandatory but would be an advantage.
- Computer literate
- Good coordination and organizing skills
- Good interpersonal skills
- Smart and tidy appearance
