Job description / Role

Employment: Full Time

This position is responsible for administering the front office, handling telephone board, telephone bills recording, handling of incoming and outgoing mail, couriers & administration related work. Handling other general administrative jobs as instructed from time to time.

Look after the Reception on daily basis. To manage companys reception area. Greet and direct all visitors, including customers, subcontractors, job candidates, vendors etc. Receive and forward incoming calls and take messages for employees who are not available when contacted. Also to assist other administrative staff with overflow work, as and when need arises.

Handles incoming and outgoing calls in a multicultural environment. Connects different offices. Receive incoming mails and couriers. Receives office visitors, record their details and guide them to their area of visits. Administers the main switchboard. General administrative support from time to time. Support all Departments with the routines activities including Supply chain. Handling & Record & Follow up with Visa (New joinees, Business Visa, Family Visa) coordinate with PRO. Record for training done by employees on Monthly Basis

1. Reception
- Greeting visitors and notifying their hosts
- Ensuring visitors register and badge issue
- Notifying new guests of site safety procedures
- Arranging for taxis
- Responsible for reception appearance
- Arranging visitors cards

2. Telephone board
- Answering telephone calls and transferring to departments
- Taking and forwarding telephone messages
- Maintaining the telephone list databases in Lotus Notes

3. Handling incoming/outgoing mail
- Receiving courier packages
- Sending out courier packages
- Check daily ABB general mailbox and forward to the employee concerned
- Complete break down of TNT courier bills for AEIND and cost allocation
- Monthly courier reports

4. Meetings
- Prearranging meeting rooms for scheduled meetings (coordinate with office boy)
- Assist departments in ordering food for meetings upon request

5. Sustainability and other tasks
- Administrative assistance to Office Manager
- Handling goods received in SAP
- Inserting PTT (Phone, telephone and telefax) bills into database
- Miscellaneous requests from department
- Recycling
- Ordering Drinking water
- Visitors count

Requirements

- High School diploma (Fresh Graduate)
- Good communication and administrative skills

Note:
Employee is evaluated by the accurate and timely manner of fulfilling the tasks. Also the attitude towards customers, subcontractors and co-workers is noted and the way reception area and work is managed.
