Job description / Role

Employment: Full Time

Based in Saudi our client is a leading business group who provide services in Projects Development, Application Management and Acquisition. Our client is looking for an Group Admin Manager for their office in Dammam

Duties & Responsibilities
- Review and manage the office budget and expenditure.
- Provide administrative support to all departments dealing with the task of editing, typing, mailing and filing.
- Monitor the performance of all Executive assistants, personal assistants, office administrators and receptionists in KSA.
- Schedule meetings, answer interoffice queries and ensure that there is effective communication of any relevant operational information to management.
- Assist the HR department in implementing and ensuring the adherence to Company policies and procedures.
- Liaise with the finance department to ensure inventory and stationary is accounted for and constantly replenished/distributed to staff.
- Identify, recommend and obtain quotations for potential suppliers of stationary
- Assist in organizing the office layout and ensure that office premises are maintained in a state that projects a good image of the Company and enables daily operations to run effectively.
- Check that the office plants are well-maintained, project a good image to visitors and provide a pleasant working environment.
- Organize the collection of incoming mail and its distribution in the office.
- Arrange and coordinate the printing of business cards.
- Liaise with insurance companies and ensure that all formalities and procedures are complied with in case of accidents or safety hazards.
- Ensure that the cars owned by the Company are insured and registered in line with Company policies.
- Review the performance of contractors providing stationary, cleaning services, pest control, office maintenance, office equipment, etc. and recommend whether contracts should be renewed or not.
- Liaise with Line Managers to determine if administrative support needs are being met and how the services might be improved.
- Manage the scheduling of meeting rooms for internal or external meetings, conferences and/or workshops.

Requirements

- Minimum of 7 - 10 years experience in the field of Administration.
- A degree in Business Administration
- Diploma or certification in office management or secretarial skills preferred.
- Must be bilingual (Arabic and English)
- Preferrance will be given to Saudi Nationals
