Employment: Full Time

Marks & Spencer, part of Al Futtaim Retail, is a globally recognised retail brand offering stylish, high quality, great value clothing and home products as well as outstanding foods.

With 25 stores currently located across the GCC including locations in the UAE, Oman, Egypt, Bahrain, Kuwait and Qatar there is further growth planned with an additional four stores to open in 2013 to further strengthen this exciting brand within the Middle East market.

Job holder support a number of processes related to budgeting, reporting , organization maintenance on SAP and compliance of personnel administration in stores. Plays a key role with the generalist knowledge to support different priorities within the department.

Key Responsibilities:

Manpower Budget & Reporting

* Supports Head of HR to collate manpower requirements from management, validating variable budget assumptions , correct data entry to planning tool for each cost center. Creates Headcount tracking sheets by band by cost center together with the budget approval
* Compiles data for HR reporting , analysis data and variance and prepares the report
* Compiles PDR rating and forms, checks conformity. Contact managers for guidance on the quality of the content for the levels F and below

Employee Relations

* Reviews disciplinary cases, ensures correct documentation and compares evidence. Suggests action to HRBP, prepares warning letters and ensures filing.

HR Administration & Compliance

* Trains, informs standards, checks store admin teams to ensure correct data keeping and audit compliance with regards to HR Administration (leave, overtime, comp-off, attendance)
* Conduct necessary checks for HR related costs and accruals as instructed by the manager
* Where SSU support does not exists administers the payroll and legal reporting. Ensure correct data keeping, recording and payment with Store Admin and  finance team.

System and Organizational Maintenance

* In order to ensure correct workflows and status of employment conducts checks on the SAP to reflect management changes, employee transfers, status changes and works with line managers and SSU s to get the changes reflected on the system
* Ensure the organization charts are updated and reflects current status of the organization.

Requirements

The job holder needs to be approachable, very good communicator with different levels in the organization .Due to nature of the job, needs to deal with personnel information with sensitivity and confidentiality. Reflects a diplomatic and objective stand against all employees. Should  have good knowledge of labor laws and policies can guide  managers and employees on their queries with regards to policy.

Minimum Qualifications and Knowledge:

* Bachelor's Degree

Minimum Experience:

* 3+ years work experience in Personnel Administration

Job-Specific Skills:

* Understands personnel administration from workflow, policy, legal and systems perspective, can manage any part of those processes when required. Can prepare payroll and ensure legal reporting. Can work with numbers and prepare reports. Attention to detail, being organized and meeting deadlines are key in this role.
